Executive Secretary

Job Description

An Abu Dhabi based investment holding company is recruiting an Executive Secretary for their real estate division. This role will be based in Abu Dhabi.

Job Responsibilities
  • Manage the day-to-day operations of the business, such as scheduling appointments with clients, answering phone calls and emails, and filing paperwork and taking notes during meetings
  • Schedule meetings with clients and other parties involved in real estate transactions.
  • Coordinate with other members of the team to complete tasks such as preparing contracts and notices.
  • Provide support to partners, brokers, and other agents with all administrative tasks.
  • Handle incoming and outgoing mail, filing documents, maintaining databases, and providing general office support.
  • Coordinate maintenance with contractors and landlords, including communicating with tenants to schedule appointments and ensure timely completion of work.
  • Manage listings of properties for sale or rent, including uploading photos, creating brochures, and sending out marketing materials.
  • Keeping abreast of local real estate laws and regulations, government regulations that affect real estate, and market conditions to help identify potential investment opportunities.
  • Drafting letters and notices to clients, colleagues, vendors, or other parties involved in real estate transactions.
Requirements
  • 2-3 year of property and real estate experience is mandatory.
  • Candidate must be based in the UAE and willing to relocate to Abu Dhabi.
