Our client is a well-established engineering organization and we are recruiting a UAE experienced executive assistant / secretary to join their Jebel Ali (JAFZA) head office.
The role will provide administrative support to the CEO and Managing Director.
Responsibilities
Diary management and organize internal and external meetings and events.
Extensive travel arrangements \xe2\x80\x93 flight, accommodation and transportation bookings.
Respond to emails on behalf of the CEO; prepare letters and documents such as presentations and reports.
Take minutes of meetings, circulate and follow up tasks with relevant stakeholders.
Manage contract renewals for property and vehicles \xe2\x80\x93 must be familiar with Dubai RERA and RTA regulations.
Client and supplier relationship management
Meet and greet visitors.
Support the Human Resources team as required.
Mandatory Skills & Experience Required
5+ years\xe2\x80\x99 experience as an executive level secretary or administrator to an MD, CEO or senior director preferably within the engineering industry.
Ability to effectively manage multiple tasks and take the initiative to investigate and resolve issues appropriately and promptly.
Ability to maintain a high level of professionalism and discretion when dealing with confidential information.
Client relationship management with the ability to interact at all levels.
Advanced skills in Excel and PowerPoint.
Familiarity with JAFZA regulations is a strong advantage.
Candidate Profile
Currently living in Dubai \xe2\x80\x93 must be able to work in Jebel Ali (JAFZA).
Fluent in English \xe2\x80\x93 must be able to read, write and speak fluent English.
Fluent in Tagalog is a strong advantage.
Professional appearance with a confident and outgoing personality.
Customer focused approach, solution and detail oriented, discreet and able to handle confidential information, and able to multitask and meet deadlines.
Ability to work independently with minimum supervision.
