Executive Secretary

Job Description

Job Brief: We are looking for an organized secretary to perform administrative tasks as well as welcome guests and clients to the office. The secretary is responsible for answering phone calls, responding to emails, and scheduling meetings. The Secretary will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office. You will assist colleagues and executives by supporting them with planning and distributing information, will be the point of reference for all queries, requests or issues and will be an integral part of the company's workforce. Job Responsibilities:

  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments.
  • Attend meetings and record the minutes of every meeting.
  • File and update contact information of employees, customers, suppliers and external partners.
  • Receive and screen phone calls and redirect them when appropriate.
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc..).
  • Make travel arrangements for executives.
  • Handle confidential documents ensuring they remain secure.
  • Prepare invoices or financial statements.
  • Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders.
  • Conduct research and prepare presentations or reports as assigned.
  • Set up and promote the company's social pages within each platform to increase the visibility of company's social content.
Minimum Qualifications:
  • Degree in business administration or any relative field.
  • +2 years of clerical experience is an advantage.
  • Bilingual (Arabic, and English) is a must.
  • Outstanding verbal and written communication skills.
  • Strong Interior Designing background, and In-depth understanding of the Architectural business field.
  • Effective time management and organization skills, especially the ability to prioritize and multitask.

  • Excellent adherence to company policies and procedures.
  • Quick learner, excellent capacity to retain new knowledge and detail-oriented.
  • Team player with ability to work well under pressure.
  • Proficient in Microsoft Word, Excel, and Outlook.
