We are seeking a highly sophisticated, proactive, and discreet
Executive Assistant
to serve as the operational backbone for our CEO/MD in our
United Arab Emirates
. This is a high-impact, mission-critical role for an individual who thrives in a fast-paced, complex, and international environment. The ideal candidate will be an experienced EA/Chief of Staff-hybrid with a proven track record of supporting C-Suite executives in the
Pharmaceutical, Life Sciences, or High-Growth Technology
sectors, demonstrating fluency in industry terminology, exceptional business acumen, and impeccable judgment.
2. Key ResponsibilitiesA. Executive Support & Calendar Management
Manage a dynamic and complex global calendar across multiple time zones (UAE, US, Asia), strategically prioritizing internal and external commitments to maximize the executive's productivity.
Anticipate, plan, and execute intricate international and domestic travel logistics, including visas, transportation, accommodations, and detailed itineraries.
Serve as the primary gatekeeper, screening and prioritizing all incoming communications (emails, calls, correspondence) and proactively drafting responses on behalf of the executive when appropriate.
B. Strategic & Operational Partnership
Act as a trusted liaison and extension of the CEO/MD, facilitating communication between the executive, Board members, investors (Venture Capital/Private Equity), senior leadership (CFO, CTO, VPs), and external partners (major pharmaceutical companies, hospital networks).
Prepare comprehensive briefing materials, meeting agendas, and pre-reads for all engagements, ensuring the executive is thoroughly prepared.
Track and manage critical follow-up action items from key meetings, ensuring accountability and timely completion across the leadership team.
Manage personal administrative affairs for the executive as required to ensure seamless professional focus.
C. Board, Investor, and Documentation Management
Coordinate the end-to-end logistics for Board of Directors meetings, investor updates, and quarterly business reviews, including scheduling, venue booking, and distribution of highly confidential board packs and financial documents.
Prepare, edit, and format high-stakes business documents, presentations (PowerPoint/Google Slides), reports, and memos with exceptional attention to detail and a professional standard suitable for investor review.
Maintain the highest level of confidentiality and discretion when handling sensitive corporate, clinical data, and personnel information.
D. Office & Culture Coordination
Manage expense reports and reconciliation, often involving complex international currencies and corporate policies.
Assist with the coordination of high-profile company events, conferences, and executive team off-sites in Dubai and globally.
3. Required Qualifications & Experience
Education:
Bachelor's degree in Business Administration, Life Sciences, Health Management, or a related field is preferred.
Experience:
A minimum of 7 years of progressive experience providing direct, dedicated support to a C-Level Executive (CEO, MD, or President) in a fast-paced, global organization.
Industry Focus (Mandatory):
Proven experience (5+ years preferred) within the
Pharmaceutical, Biotechnology, HealthTech, or a high-growth Artificial Intelligence/SaaS technology company
. Familiarity with clinical trials, RWE (Real-World Evidence), or oncology is a significant asset.
Location:
Proven ability to work in a high-demand regional hub like Dubai, managing international stakeholders and complex travel.
Technical Proficiency:
Expert-level proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint) and modern productivity tools (e.g., Google Workspace, collaboration platforms).
Language:
Excellent command of written and spoken English is essential. Fluency in a second language (e.g., Arabic, Hindi/Urdu, or a European language) is a distinct advantage.

Pay: AED8,500.00 - AED20,000.00 per month
