We are seeking a highly professional, resourceful, and experienced Executive Assistant to serve as the primary point of contact for the CEO. The ideal candidate is a strategic partner who possesses a high level of discretion, exceptional organizational skills, and the ability to anticipate needs before they arise. You will be responsible for managing the CEO's complex schedule, streamlining communications, and ensuring smooth day-to-day operations of the executive office.
Key Responsibilities
1. Corporate Communication & Stakeholder Management
Act as the first point of contact for the CEO, screening and managing incoming calls, emails, and correspondence with high-level stakeholders, investors, and board members.
Draft, proofread, and edit high-quality corporate communications, including memos, internal announcements, presentations, and official letters on behalf of the CEO.
Maintain strict confidentiality of sensitive corporate information and exercise discretion in all communications.
Liaise between the CEO and internal departments, ensuring directives are communicated clearly and followed up on.
2. Reporting & Documentation
Assist in the preparation of Board Meeting materials, and strategic presentations.
Compile and consolidate periodic reports (weekly/monthly/quarterly) from various department heads for the CEO's review.
Create and maintain comprehensive meeting minutes, tracking action items and ensuring deadlines are met.
Maintain organized digital and physical filing systems for reports, contracts, and key documents.
3. Email & Calendar Management
Manage the CEO's inbox efficiently, flagging urgent matters, drafting responses, and filtering spam/low-priority items.
Oversee complex calendar management, coordinating conflicting schedules and prioritizing meetings based on business urgency.
Proactively schedule internal and external meetings, ensuring all necessary logistics, agendas, and briefing materials are prepared in advance.
4. Travel Management
Arrange complex domestic and international travel itineraries, including flights, accommodation, ground transportation, and visa arrangements.
Prepare detailed travel schedules and briefing packs for the CEO ahead of trips.
Anticipate and resolve any travel disruptions or changes immediately to minimize impact on the CEO's schedule.
5. Meeting & Event Coordination
Organize and coordinate Executive Committee meetings, Board meetings, and off-site strategy sessions.
Manage venue booking, and technology setup (video conferencing, AV equipment) for executive meetings.
Greet visitors and partners to the office, ensuring a professional reception experience.
6. Office Management
Oversee the general operations of the executive office, ensuring the workspace is organized and professional at all times.
Liaise with vendors, office management, and IT support to resolve any facilities issues affecting the CEO's office.
Manage ad-hoc administrative projects, expense submissions, and procurement for the executive office as required.
Requirements & Qualifications
Education:
Bachelor's degree in Business Administration, Communications, or a related field.
Experience:
Minimum
5-7 years
of experience as an Executive Assistant or Personal Assistant supporting C-Level executives (CEO/Chairman).
Language Skills:
Fluent in English & Arabic
(Excellent written and verbal communication skills are mandatory)..
Technical Skills:
Advanced proficiency in
Microsoft Office Suite
(PowerPoint, Excel, Word, Outlook).
Experience with virtual meeting platforms (Zoom, Teams, Google Meet).
