We are seeking a highly competent and multilingual
Executive Assistant
to provide comprehensive administrative, operational, and strategic support to the
Chief Executive Officer (CEO)
. The role requires a proactive individual who can anticipate needs, manage multiple priorities efficiently, and ensure smooth coordination between the CEO's office and internal/external stakeholders.
The successful candidate must possess
strong communication skills in English
(fluency in
Arabic, Urdu & Hindi
is a distinct advantage) and a good understanding of
marketing, branding, and corporate communications
, as the role involves contributing to marketing coordination and supporting brand visibility initiatives alongside administrative responsibilities.

Act as the primary point of contact for the CEO's office, handling all correspondence, scheduling, and communication.
Manage the CEO's calendar effectively, including scheduling internal and external meetings, conference calls, and travel itineraries.
Prepare, review, and edit reports, documents, presentations, and emails for accuracy, clarity, and tone in both English and Arabic.
Ensure timely follow-up on key tasks, deliverables, and pending matters on behalf of the CEO.
Maintain and organize confidential files, records, and documentation with discretion and accuracy.
Draft professional business letters, memos, and official communication in both English and Arabic as required.
Strategic & Operational Coordination:
Support the CEO in monitoring and driving strategic initiatives, ensuring alignment with company objectives.
Prepare meeting agendas, compile background information, record minutes, and track post-meeting action items.
Liaise effectively with internal departments (HR, Finance, Marketing, Operations) to ensure smooth execution of CEO directives.
Conduct business research, competitor analysis, and data compilation for decision-making purposes.
Represent the CEO's office in professional interactions with clients, partners, and external agencies when required.
Marketing & Brand Support:
Assist the CEO in coordinating marketing and brand development initiatives with the marketing team.
Contribute ideas and support in preparing content for presentations, digital campaigns, newsletters, and corporate profiles.
Ensure consistency in branding and communication across company touchpoints.
Monitor marketing performance metrics and share insights or updates with the CEO regularly.
Communication & Liaison:
Translate documents, presentations, and communications between English and Arabic accurately.
Maintain effective communication with internal teams and external business associates across regions.
Handle sensitive communications on behalf of the CEO with the utmost confidentiality and professionalism.
Qualifications & Experience:
Bachelor's Degree in
Business Administration, Marketing, Communications
, or a related discipline.
Should be having American or Australian visa.
Minimum 3 to 5 years
of proven experience as an
Executive Assistant, Personal Assistant, or similar role
supporting C-level executives.
Strong command of
English and Arabic
(spoken and written) is mandatory;
Hindi
proficiency will be an added benefit.
Demonstrated understanding of
marketing concepts, digital communication, and brand development
.
Excellent proficiency in
Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
and digital collaboration tools (Google Workspace, Zoom, etc.).
Strong interpersonal, communication, and presentation skills.
Exceptional organizational, problem-solving, and multitasking abilities.
Ability to work independently, maintain confidentiality, and exercise sound judgment in high-pressure situations.
A professional demeanor with a high level of integrity and reliability.
