Manage the CEO's calendar, meetings, travel, and appointments with strict prioritization.
Prepare meeting agendas, presentations, reports, MOMs, and follow-up action trackers.
Handle high-level correspondence (emails, letters, proposals) on behalf of the CEO.
Act as the first point of contact between the CEO and internal/external stakeholders.
Maintain absolute confidentiality of sensitive business and personal information.
2. Office Management & Administration
Oversee daily office operations, facilities, supplies, vendors, and support staff.
Ensure proper document control, filing systems, and records management.
Coordinate with HR, Finance, and Operations for approvals, documentation, and compliance.
Monitor office budgets, petty cash, and administrative expenses.
Ensure compliance with UAE regulations, company policies, and authority requirements.
3. Coordination & Follow-Up Control
Track CEO directives, action items, and deadlines across departments.
Follow up with department heads to ensure timely execution and reporting.
Prepare weekly and monthly executive summaries for the CEO.
Support inter-company coordination (Training, Staffing, Inspection, other entities).
4. Client, Authority & Stakeholder Liaison
Coordinate meetings with clients, accreditation bodies, and authorities.
Support tender submissions, approvals, and authority-related documentation when required.
Maintain professional relationships with key partners, vendors, and consultants.
5. Confidential & Strategic Support
Assist the CEO with strategic planning materials, KPIs, dashboards, and board documents.
Handle sensitive HR, legal, financial, and commercial documents with discretion.
Support internal audits, management reviews, and executive initiatives.
Authority & Decision Rights
Prioritize and control access to the CEO.
Communicate instructions on behalf of the CEO where authorized.
Approve routine administrative expenses and office decisions within limits.
Qualifications
Bachelor's degree in business administration, Management, or related field.
5-8 years' experience as a PA to CEO / Office Manager / Executive Secretary, preferably in UAE.
