The Executive Assistant will provide high-level administrative, organizational, and strategic support to the CEO of the holding company. This role demands confidentiality, initiative, strong communication, and a proactive approach to managing priorities, scheduling, protocol, and internal and external coordination.
Key Responsibilities:
Executive Support
Manage CEO's calendar, including meetings, events, and travel.
Prepare agendas, reports, briefing materials, and minutes for internal and external meetings.
Screen, prioritize, and manage all forms of communication (calls, emails, documents).
Travel & Logistics
Coordinate local and international travel, including flights, hotels, visas, and itineraries.
Handle expense reports, reimbursements, and executive logistics.
Office & Stakeholder Management
Liaise with internal departments and external partners on behalf of the CEO.
Assist in organizing board meetings, investor calls, and executive sessions.
Maintain a professional and organized filing system for strategic and confidential documents.
Strategic & Project Assistance
Support CEO with tracking of high-priority projects, deadlines, and KPIs.
Draft executive summaries, memos, and follow-up correspondence.
Conduct light research, prepare presentations, and assist with reporting for CEO-level initiatives.
Confidentiality & Gatekeeping
Uphold absolute confidentiality in all matters, including strategic decisions and private communications.
Act as gatekeeper to protect the CEO's time, priorities, and discretion.
Protocol Management
Manage
official protocol
related to executive engagements, including formal meetings, business delegations, and receptions.
Prepare and brief the CEO before all high-level meetings, including
government
,
royal family
, and
international partner
engagements.
Ensure
appropriate etiquette
is followed during all formal visits, both local and abroad.
Coordinate with external organizers for
, and cultural sensitivities.
Draft and review official correspondence (in Arabic and English) for embassies, government entities, and strategic partners.
Maintain a detailed record of diplomatic and business engagements, follow-ups, and protocol precedence.
Qualifications:
UAE Nationals
or candidates with
strong understanding of local business culture

Arabic speakers (Levantine or Gulf dialects preferred)
Bachelor's degree in Business Administration or related field
Male candidates comfortable with protocol and executive travel
Minimum 5 years experience supporting a C-Level Executive
Proficient in MS Office Suite, especially PowerPoint, Outlook, and Excel
Fluent in Arabic and English (spoken & written)
Excellent organizational, multitasking, and interpersonal skills
High discretion, integrity, and professionalism
Preferred Attributes:
Experience in holding companies or diversified business groups
Familiarity with board protocol, VIP coordination, and cross-cultural formalities
Strong sense of urgency, attention to detail, and anticipation of executive needs
