Position Overview
We are seeking a proactive, organized, and detail-oriented Executive Assistant to provide high-level administrative support to senior leadership. The ideal candidate will be resourceful, efficient, and able to handle confidential information with professionalism and discretion. This role requires a strong ability to multitask, exceptional communication skills, and a solution-oriented mindset.



The Role - What You'll Do
Key Responsibilities

* Manage executive calendars including scheduling appointments, meetings, and travel arrangements
* Act as the primary point of contact between the executive team and internal/external stakeholders
* Prepare reports, presentations, correspondence, and documentation as required
* Handle confidential information with integrity and professionalism
* Coordinate and support executive meetings - agenda preparation, minutes, follow-ups
* Organize travel itineraries, visas, accommodations, and expense claims
* Support business operations including vendor coordination and office administration activities
* Assist in special projects, events, and business initiatives
* Monitor email inbox and prioritize urgent communication
* Maintain records, files, and documentation accurately
* Ensure smooth daily operations and provide general administrative support



You Are

* A polished professional with 3-5 years previous experience supporting senior leadership in a dynamic environment (luxury retail / brand-driven businesses preferred).
* Someone who excels at multitasking with grace - juggling priorities, adapting to change, and maintaining clarity under pressure.
* A master communicator: outstanding verbal and written English, and comfortable interacting with senior internal & external stakeholders at all levels.
* Tech-savvy: proficient in the Microsoft Office suite (Outlook, PowerPoint, Excel) and comfortable adopting new tools/CRM systems.
* A creative thinker: you find smarter ways to get things done, you don't just follow the process-you elevate it.
* Discreet and trustworthy: you handle sensitive information with integrity and confidentiality.
* A team player with a a??roll up your sleevesa? attitude - aligning with our leadership culture of getting in and doing the work.



Bonus If You Have

* Background in retail, brand-management, luxury, or lifestyle sectors
* Experience in international travel logistics, and multi-region coordination
* Exposure to marketing, events, or stakeholder communications
* A second language other than English
