RESPONSIBILITIES:
Providing administrative support for the VP
Managing all correspondence i.e. telephone, travel arrangements, emails, meeting invites, scheduling meeting
Communicating VP's instructions, decisions or intensions towards managers, peers, superiors, staff, liaising with internal and external Clients and Partners (directly or on behalf of VP)
Planning, coordinating and ensuring the VP's schedule is followed and respected. Providing "gatekeeper" and "gateway" role, creating win-win situations for direct access to the VP's office
Handling confidential issues
Preparing meeting minutes, presentations
Coordinating CSR activities of the company
Managing private affairs of the VP
Support as Sales/ Business Analyst to the Sales organization:
Ensure you are aware of Team’s tasks and deadlines
Support the execution of tasks with the respect of given deadlines
Agree with the Sales Managers and implement an optimal process and template for gathering data about a given task
Monitor regular Team’s KPIs and report potential gaps immediately to the Sales Managers
OCCASIONAL RESPONSIBILITIES:
Organizing and coordinating external and internal meetings (board meetings, team meetings, marketing events, trainings including logistics, catering)
Completing ad hoc projects as requested
Ensuring the provision and maintenance of some Office equipment in the sales department
Supporting the personal brand-building of the VP
REQUIREMENTS:
Bachelor's degree required, University degree is an advantage
At least 5 years of experience in a similar role in multinational environment
Proficiency in Microsoft Office, knowledge of Social Media web platforms is an advantage
Ability to work both in a team and independently
Excellent written and verbal communication skills both in Polish and English
Proactive approach
Strong organizational skills that reflect ability to perform and prioritize multiple task seamlessly

Detailed Description and Job Requirements
Spends less than 20% of time providing administrative support to relieve managers and staff of administrative and clerical details. Spends more than 80% of time on special projects. Projects may include equipment management, training new hires on policies and procedures, project coordination and logistics, documentation and collateral coordination, liaison to Human Resources, create administration manuals. May participate in operational task forces. May analyze basic spreadsheet models and track projects.
Works on assignments that are complex in nature where considerable judgment and initiative is needed in resolving problems and making recommendations. Exercises judgment within defined procedures and practices to determine appropriate action. Normally does not receive work instructions, may determine methods and procedures on new assignments and may supervise other administrative employees. Ability to work in a dynamic fast paced environment. Knowledge of spreadsheet applications. Demonstrated strong organizational skills. Proactive and resourceful. Self-motivated. Proficient in desktop applications such as MS Word, Excel, PowerPoint, email messaging tools, etc. Preferred Qualification:BA/BS degree or equivalent. 2 - 4 years of related experience.
