This role is a
hands-on operational position
, working directly with the Summit's senior leadership and core organising team. The selected candidate will play a critical role in ensuring coordination, follow-up, and operational excellence across all aspects of the event.

Key Responsibilities
Event Operations and Coordination
Support day-to-day organisation
Assist with timelines, task tracking, and coordination across internal teams and external partners.
Follow up with sponsors, exhibitors, suppliers, and service providers.
Support logistical planning including meetings, agendas, registrations, and on-site requirements.
Administrative and Executive Support
Act as direct assistant to the event lead for operational follow-up and coordination.
Prepare summaries, action lists, and basic documentation.
Manage emails, scheduling, reminders, and confirmations related to the Summit.
Ensure information is accurate, structured, and communicated clearly.
Stakeholder and Partner Support
Assist with coordination.
Support the preparation of briefing documents and operational notes.
Help ensure smooth communication before and during the event.
On-Site Event Support
Be present on-site during the event period to support operations.
Assist with registration flow, speaker coordination, and real-time issue resolution.
Support coordination with technical teams, venue staff, and service providers.
Required Profile
Experience
Previous experience in event coordination, event management, or project assistance is required.
Experience with conferences, exhibitions, or corporate events is a strong advantage.
Skills
Excellent organisational and follow-up skills.
Strong written and verbal communication skills in English.
Ability to manage multiple tasks simultaneously and meet deadlines.
Comfortable working under pressure and adapting to changing priorities.
Professional attitude and discretion when dealing with senior stakeholders.
Personal Qualities
Highly reliable, structured, and detail-oriented.
Proactive mindset with a solution-oriented approach.
Strong sense of responsibility and ownership.
Comfortable working independently while being part of a small core team.
Technical Skills
Good command of Microsoft Office or Google Workspace.

Duration: 3 months
Contract type: Fixed-term / Freelance or temporary contract
Location: Dubai, with on-site presence required closer to the event dates
Working rhythm: Full commitment during the contract period, with increased intensity approaching the Summit
