The Role
For Nationalisation reasons this role is applicable to UAE national candidates with a family book. Executive Team Assistant for an International Professional Services Firm While consultants spend most of their time at the client site, back here at home office, the Administrative Services Team consists of a group of smart, team-oriented people that will surround you. EAs actively participate in office life, are flexible and willing to help fellow team members, and collaborate across functions. Responsibilities: \xe2\x80\xa2 Managing and maintaining busy outlook calendars highlighting potential conflicts, inputting travel data, conference calls, meetings etc. \xe2\x80\xa2 Developing working relationships with external clients and their assistants to facilitate the information flow and scheduling process \xe2\x80\xa2 Maintaining and developing working relationships with various support staff members to maintain information flow and scheduling process \xe2\x80\xa2 Organizing and scheduling client and internal meetings and events; prepare logistics/equipment arrangements \xe2\x80\xa2 Providing vacation cover to other Executive Assistants \xe2\x80\xa2 Coordinating meetings, arranging conference calls, reserving conference rooms, organizing catering \xe2\x80\xa2 Where appropriate preparing and circulating meeting agendas and materials, attend meetings, take and distribute meeting notes, follow up on action items \xe2\x80\xa2 Providing administrative support to PA events: prepare invitation mailings, manage responses, arrange catering, venues and on the ground support \xe2\x80\xa2 Organizing and maintaining online systems for PA \xe2\x80\xa2 Managing client contacts for MSFT Dynamics \xe2\x80\xa2 Organizing and maintaining electronic filing system \xe2\x80\xa2 Preparing weekly timesheets and expense reports \xe2\x80\xa2 Maintain highest level of internal and external confidentiality

Requirements
QUALIFICATIONS: \xe2\x80\xa2 Strong service orientation \xe2\x80\xa2 Maturity and flexibility to work both independently and in cooperation with others \xe2\x80\xa2 High level of self-motivation and initiative \xe2\x80\xa2 Willingness to exercise good judgment and make decisions based on logic and common sense \xe2\x80\xa2 Excellent organizational skills: \xe2\x80\xa2 Ability to anticipate alternate solutions and be prepared with contingency plans as needed in a calm and efficient manner \xe2\x80\xa2 Superior attention to detail and accuracy \xe2\x80\xa2 Follow through/ownership of tasks to completion \xe2\x80\xa2 Willingness to consistently check and double-check all aspects of MDP/P schedule (including travel, client meeting preparations and materials) \xe2\x80\xa2 Ability to multi-task and complete a variety of projects in a fast-paced environment \xe2\x80\xa2 Ability and willingness to work overtime on projects and tasks as required \xe2\x80\xa2 Knowledge and experience of the Middle East and local practices \xe2\x80\xa2 Proficient computer skills: Windows, Word, Excel, PowerPoint, Outlook \xe2\x80\xa2 Organizational skills: ability to handle competing priorities and to work effectively in a \xe2\x80\xa2 challenging, fast-paced environment \xe2\x80\xa2 Service oriented, flexible, attentive to detail team player \xe2\x80\xa2 Required a minimum of 4-5 years\xe2\x80\x99 experience in a fast-paced environment
