The Document Controller will be responsible for managing, organizing, and maintaining all project-related documents, drawings, correspondence, and records in an accurate and efficient manner. The role ensures timely retrieval and distribution of documents to internal teams, consultants, contractors, and clients.
Key Responsibilities:
Maintain and manage all documents and records related to interior fit-out projects, including drawings, submittals, RFIs, material approvals, contracts, and correspondence.
Ensure proper document numbering, stamping, formatting, and filing as per company standards.
Distribute and track documents between internal departments, consultants, contractors, and clients.
Maintain up-to-date logs of drawings, revisions, and approvals using document control systems.
Follow up on document approvals and ensure timely responses from relevant stakeholders.
Prepare transmittals, submittals, and document summaries when required.
Support project teams with document retrieval, printing, scanning, and archiving.
Ensure all documents are stored securely and backed up regularly.
Assist in preparing handover documentation and project close-out files.
Maintain confidentiality and data integrity at all times.
Qualifications & Requirements:
Minimum
3 years
of experience as a Document Controller, preferably in
interior fit-out
industry.
Proficient in
MS Office
(Word, Excel, Outlook) and document control software.
Knowledge of
AutoCAD drawing referencing
is an added advantage.
Strong organizational and record-keeping skills.
Excellent communication and coordination abilities.
Ability to work under pressure and meet tight deadlines.
Attention to detail and accuracy is essential.
