We are seeking a detail-oriented and organized Document Controller (DC) to manage and maintain critical business documentation across sales, purchase, store, and payment operations. The ideal candidate will be responsible for tracking, updating, and ensuring the accuracy and availability of all relevant documents and records in a timely and efficient manner.
Key Responsibilities:
Sales Documentation Management:
Maintain and track sales invoices and delivery notes (DN).
Organize and manage quotations, LPOs, and sales-related reports.
Ensure timely documentation of all sales transactions in the system.
Purchase Documentation:
Handle and archive supplier LPOs and purchase invoices.
Coordinate with the procurement team to ensure all purchase documents are properly filed and updated.
Store & Inventory Documentation:
Maintain records related to goods receipt, dispatch, stock movement, and related store documentation.
Payment & Finance Documents:
Track payment documents such as payment vouchers, receipts, and related financial paperwork.
Support finance and accounts teams with timely retrieval of required documents.
General Document Control:
Ensure all documents are accurately filed (physical and digital).
Implement and maintain document control procedures and templates.
Regularly update the document tracking system and maintain backups.
Ensure confidentiality, compliance, and easy accessibility of documents.
