Job Purpose
Working with the EMEA Product Operations team, the Digital Operations Executive role is primarily responsible for end-to-end delivery of webinars for the EMEA Events Operations portfolio. Ranging in size and logistical complexity, you will partner with key Show Team stakeholders and lead on the project planning, development, and delivery of up to 4-5 webinars a month. Each webinar is intended to be an externally facing, engaging, and thought-provoking discussion between multiple sponsor speakers You will also be a core part of the Product Operations Team by co-managing our Tech enabled in-person Exhibitions. You would be responsible for platform delivery and required digital configurations, via platforms such as Expoplatform. You would also be a partner with the physical operations team on onsite digital support needs.
Qualifications
MAIN DUTIES & RESPONSIBILITIES
Main duties & responsibilities Operational duties
  • Operationally managing the schedule of webinars - being mindful of working with Show Teams to avoid clashes and public holidays across multiple portfolios.
  • Full setup and end-to-end management of hosting webinars using platforms such as On24, Swapcard and Expoplatform (SaS Providers)
  • In collaboration with Digital Project Manager, you would co-ordinate mid -large sized tech- enabled Exhibitions, where you will be responsible for SaS platform configurations and ensuring data and event details are correct and deadline driven.
  • Ensure all preferred suppliers and Show teams are kept fully up to date with digital event information, e.g. platform build, project status, event metrics, and delivery details are communicated to an agreed frequency schedule
  • Sending out timely ‘deadline reminders’ to exhibitors, speakers, moderators and colleagues.
  • Assist with post-event reporting and analysis through collation and recording of requested data to continuously improve the webinar series and/or Tech-enabled Exhibitions
  • Be a platform subject matter expert and assist various teams or clients with operational queries
  • Test the digital event set up and support extended Product Team where required
  • Compile event reports and KPI analysis on each event
General team support & additional areas of responsibility
  • Attendance at any required meetings, minute & action taking for distribution
  • Create and maintain show specific project plans in the agreed format for review & sign off by individual Project Managers on an event-by-event basis
  • Ensure all allocated operational tasks are carried out on a timely basis according to individual project plans and adhere to multiple deadlines
Background knowledge, skills & experience Essential
  • Experience and invested interest in digital events - staying abreast with the latest developments and trends in the digital events/marketing field
  • Able to demonstrate a proactive approach and take initiative in anticipating Show Team and sponsor/speaker webinar and tech-enabled event needs
  • Strong time management and organisational skills; can work to tight deadlines, able to prioritise and manage several different tasks and EMEA events at the same time in different time zones
  • 12 months experience at Event Operations Executive level with core experience or understanding of digital event management
  • Experience and/or interest in digital platforms such as Swapcard, Expoplatform, On24, Vimeo, Streamyard
  • Excellent interpersonal, oral and written skills in English
  • IT confident and able to work with various systems; including, but not limited to, Jira, Confluence, Smartsheet, Teams, Outlook, Word, Excel, PowerPoint skills

Desirable
  • Working knowledge and/or technical understanding of the digital event industry, exhibition industry and conference industry
  • Creativity and marketing acumen, great copywriting skills and html knowledge
  • Ability and willingness to work additional hours if required to deliver an EMEA event
