Job Description

Job Summary:

The Deputy Manager - Purchase will be responsible for managing the end-to-end procurement

process, ensuring cost-effective sourcing of goods, maintaining supplier relationships, and

optimizing inventory levels. The role involves coordinating with suppliers, negotiating pricing,

ensuring timely deliveries, and maintaining smooth procurement operations in line with

company requirements.

Key Responsibilities:

1. Procurement & Supplier Management:



Prepare and maintain a list of stock items required by the company. Identify, evaluate, and onboard reliable suppliers. Send inquiries to suppliers, collect quotations, and compare pricing and terms. Negotiate contracts, prices, and payment terms to secure the best deals. Maintain strong relationships with suppliers to ensure quality and on-time deliveries.

2. Order Processing & Follow-Up:



Place purchase orders (POs) with approved suppliers. Track orders, monitor production progress (if applicable), and ensure timely
shipments.

Coordinate with logistics/shipping teams to ensure smooth customs clearance and
delivery.

Resolve any issues related to delays, quality discrepancies, or shortages.

3. Cost & Inventory Optimization:



Analyze market trends to anticipate price fluctuations and secure favorable terms. Monitor stock levels and reorder points to prevent shortages or overstocking. Implement cost-saving strategies without compromising quality.

4. Documentation & Compliance:



Ensure all procurement records (POs, invoices, contracts) are properly maintained. Verify supplier documents (certifications, compliance, quality reports). Ensure adherence to company policies and international trade regulations.

5. Coordination & Reporting:



Work closely with warehouse, finance, and sales teams to align procurement with
demand.

Provide regular reports on procurement status, cost savings, and supplier
performance.

Qualifications & Skills:

Education: Bachelor's degree in Supply Chain, Business, or related field. Experience: Minimum 5 years in procurement/purchasing, preferably with Chinabased suppliers. Skills:
o Strong negotiation and supplier management skills.

o Proficient in procurement software/ERP systems.

o Analytical mindset with cost optimization expertise.

o Knowledge of international trade (INCOTERMS, shipping, customs).

o Fluent in English.

Personal Attributes: Organized, detail-oriented, proactive, and able to work under
pressure.
