The Demo Coordinator is responsible for managing and coordinating all demo item requests from customers, ensuring proper tracking, documentation, and reporting. This role liaises between the Sales, Logistics, Technical, and Collection teams to ensure that all demo units (actual or dummy/shell) are processed efficiently, delivered on time, and returned in good condition.
Key Responsibilities:
Customer Coordination:
Receive and acknowledge new demo requests from customers.
Clarify the type of demo required (actual working camera vs. shell) for proper processing.
Internal Coordination:
Check demo item availability with the Logistics team (for actual cameras).
Coordinate with the Technical team for shell/demo boards.
Inform the assigned salesperson to submit the internal demo request form once availability is confirmed.
Ensure demo request forms are approved by Mr. Monesh before processing.
Coordinate with the
Collection Department
regarding the
Proforma Invoice
, if applicable.
System Processing:
Input the approved request into the system for documentation and tracking.
Demo Preparation:
For actual cameras, coordinate with Logistics for preparation and dispatch.
For shell items, arrange the sample on a demo/sample board before delivery.
Logistics Coordination:
Schedule collection time with the Logistics team for the demo samples.
Ensure timely dispatch of demo units.
Documentation and Reporting:
Maintain a detailed report of all demo items delivered, including quantity, type, and destination.
Track all demo items to ensure they are accounted for.
Returns Management:
Check returned demo items for any damage or issues.
Update the system accordingly upon return of the items.
Follow-ups:
Regularly follow up with customers for any demo items not yet returned.
Escalate any prolonged or problematic returns to the concerned salesperson.
Project Reference Checking:
Review LPOs received from customers.
Verify if demo items were delivered under the same project reference mentioned in the LPO.
Skills and Qualifications:
Strong coordination and organizational skills
Attention to detail and accuracy in documentation
Good communication skills (verbal and written)
Ability to manage multiple requests simultaneously
Basic knowledge of inventory systems or ERP is an advantage
Experience in customer service or coordination roles preferred
