is the first point of contact for guests and plays a critical role in delivering exceptional customer service. This position is responsible for handling vehicle rentals, processing customer check-ins and check-outs, managing reservations, providing information about our fleet, and addressing any inquiries or issues. The Front Desk Agent is expected to maintain a high level of professionalism, courtesy, and efficiency in all guest interactions.
Key Responsibilities
:
Vehicle Rental Check-In and Check-Out
: Greet customers upon arrival, assist with vehicle rental check-in and check-out procedures, verify reservation details, and issue vehicle keys.
Reservation Management
: Manage incoming reservations via phone, email, or online booking systems. Ensure accuracy of customer information and vehicle availability.
Customer Service
: Provide exceptional customer service by addressing guest inquiries, resolving complaints, and assisting with any special requests or needs related to vehicle rentals.
Information and Assistance
: Offer information regarding the vehicle fleet, rental policies, insurance options, and local attractions. Assist customers with arranging transportation or providing other concierge services.
Phone and Email Communication
: Answer phone calls and emails promptly, professionally, and accurately, assisting with inquiries, reservations, or transferring calls to appropriate departments.
Record Keeping
: Maintain accurate customer records, ensuring that personal information is kept confidential and handled according to company policies.
Billing and Payment
: Process customer payments, handle billing discrepancies, and manage the cash drawer, following all company accounting procedures.
Team Collaboration
: Coordinate with other departments, including maintenance and customer service, to ensure smooth operations and customer satisfaction.
Compliance and Safety
: Adhere to safety, security, and health policies related to vehicle rental services. Ensure compliance with all legal and regulatory requirements.
Problem-Solving
: Address any customer issues or complaints professionally, ensuring a timely and satisfactory resolution.
Upselling
: Promote and sell additional services, upgrades, or special offers to enhance the customer experience and increase revenue.
Qualifications
:
Education
: High school diploma or equivalent required. A degree in hospitality, business, or a related field is a plus.
Experience
: Previous experience in customer service, sales, or the car rental industry is preferred but not required.
