Dubai Hoop School is seeking a highly organized and proactive
Academy Administrator
to support the daily operations of our basketball academy. This role is essential to maintaining a high-quality customer experience and ensuring smooth coordination between coaches, parents, players, and management. The ideal candidate is professional, detail-oriented, and able to multitask in a fast-paced environment.
Key ResponsibilitiesCustomer Support & Communication
Handle all incoming customer inquiries via WhatsApp, email, phone, and social media.
Respond to leads generated from ads and marketing campaigns.
Provide clear program information, pricing, and scheduling updates to parents.
Maintain a friendly and professional tone that reflects the academy's values.
Sales & Lead Management
Follow up on leads, trial bookings, and pending enrollments.
Track and report conversion rates.
Assist in upselling academy programs, camps, leagues, trips, and private training sessions.
Operational Coordination
Assist coaches in organizing daily lessons and ensuring proper attendance tracking.
Prepare weekly schedules, court bookings, and session reminders for families.
Monitor class sizes and help balance groups across locations and levels.
Ensure all safety, equipment, and facility requirements are met before each session.
Financial & Administrative Tasks
Issue invoices for registrations, uniforms, private trainings, camps, leagues, and events.
Track payments, send reminders, and maintain accurate financial records.
Prepare monthly reports on registrations, collections, and outstanding payments.
Database & Record Management
Maintain and update player databases, attendance sheets, and registration records.
Organize documents related to academy trips, tournaments, and special programs.
Store and update parent contacts, waivers, medical info, and consent forms.
Marketing & Media Support
Assist in responding to social media inquiries and coordinating with marketing staff.
Collect photos/videos from coaches and help organize media folders.
Support the creation of simple announcements, reminders, and information messages.
Events & Program Support
Assist during games, leagues, tournaments, and academy events.
Coordinate player entries, team list preparation, and communication with parents.
Support logistics for special programs such as travel teams, camps, and clinics.
Quality Control & Customer Experience
Ensure parents receive timely updates, reminders, and follow-ups.
Handle feedback professionally and escalate issues when necessary.
Help maintain a smooth, positive, and professional experience for every family.
General Administrative Duties
Prepare reports, summaries, and weekly performance updates for management.
Support coaches and management with any additional day-to-day tasks.
Ensure the academy's standards, culture, and professionalism are upheld at all times.
Job Type: Full-time
Pay: AED3,500.00 - AED4,000.00 per month
