Role Overview
We are seeking a highly organized and detail-oriented
Company Formation Executive / Administrator
with strong experience in
UAE Free Zone and Mainland company formation
. The ideal candidate will manage end-to-end business setup processes, licensing, renewals, and ongoing corporate administration, while maintaining accurate records in
Zoho CRM
and coordinating with government authorities and service providers.
Key Responsibilities
Company Formation & Licensing
Manage end-to-end company formation processes in
UAE Mainland and Free Zones
(DED, IFZA, DMCC, Meydan, RAKEZ, JAFZA, ADGM, DIFC, etc.).
Advise clients on suitable legal structures, activities, jurisdictions, and licensing requirements.
Prepare, submit, and track applications for trade licenses, initial approvals, MOAs, AOA, and related documents.
Coordinate with authorities for name reservation, activity approvals, and compliance requirements.
Handle
license renewals, amendments, cancellations
, and company liquidations.
PRO & Government Liaison
Liaise with UAE government departments (DED, Free Zones, MOHRE, GDRFA, ICP).
Coordinate visa processes including establishment cards, investor/employee visas, Emirates ID, and medicals.
Track visa quotas, expiries, and compliance deadlines.
Corporate Administration
Maintain accurate corporate records, contracts, and statutory documents.
Support bank account opening processes and liaise with banks as required.
Coordinate office leases, Ejari, flexi-desk arrangements, and related documentation.
Ensure ongoing compliance with UAE regulations and internal policies.
CRM & Reporting
Maintain and update client data, leads, tasks, and documents in
Zoho CRM
.
Track application status, timelines, and service-level commitments.
Generate regular reports on formations, renewals, and pipeline status.
Client Support & Coordination
Act as a primary point of contact for clients throughout the formation lifecycle.
Provide clear timelines, documentation checklists, and status updates.
Coordinate with internal teams (sales, finance, legal) to ensure smooth service delivery.
