Coordinator, Projects

Job Purpose

Coordinates various project activities between the end users, third party contractors and Projects Division. Organizes resources required for executing the planned activities. Follows up on resources and materials to ensure timely completion of such EPC projects till close out & ensures contractors' compliance on warranty conditions. Update the data & report from Plant Maintenance and Project System Module.

Job Specific Accountabilities (Part 1)

  • Associates in the preliminary scheduling of major projects in coordination with the Planning Engineers and Project Managers.
  • Follows up of projects activities mainly in the stream of materials, asset movements, progress of work.
  • Provides general support to Project Managers and Planning Engineers at site while executing major projects, assisting in project correspondences, coordinating in other operating areas and IT personnel on system related issues.
  • Visits workshops and warehouse to review status of repairs, availability of spares, receipt of projects.
  • Participates in the preparation of annual requirements for budget including scope of activities, scheduling of activities, allocation of resources.
  • Coordinates with Contractors and facilitate for smooth and timely completion of tasks. Monitor Third party works and report to the Project Manager.
  • Orders material as and when required by respective disciplines, with the consent of Project Manager. Compiles the spare parts list provided by Project Manager and prepares for material coding.
  • Initiates orders for service procurement upon finalization of Work Scope with Planning Engineer / Project Managers.
  • Maintains projects tendering through SAP system for third party works, which includes Work order preparation, invitation to bid, assists in technical & commercial evaluation; award the job through service work order.
  • Prepares Change Order Review forms based on received from Contractor and obtain internal approval.
  • Updates weekly reports with regard to material status, service status of repair equipment.
  • Organizes spare parts available in other locations to Workshop for completing the repair and overhaul of equipment. Organizes logistics arrangement for the projects liaising with warehouse.
  • Maintains inventory assets at shipyards during execution of the project. Monitors and record weight control data during project execution and report the same in graphical formats.

  • Plan, supervise and coordinate all activities in the assigned area to meet functional objectives.
  • Train and develop the assigned staff on relevant skills to enable them to become proficient on the job and deliver the respective section objectives.

  • Provide input for preparation of the Department budgets and assist in the implementation of the approved Budget and work plans to deliver Section objectives.
  • Investigate and highlight any significant variances to support effective performance and cost control.

  • Implement approved Section policies, processes, systems, standards and procedures in order to support execution of the Section's work programs in line with Company and International standards.
  • Comply with all applicable legislation and legal regulations.
Performance Management
  • Contribute to the achievement of the approved Performance Objectives for the Section in line with the Company Performance framework.
Innovation and Continuous Improvement
  • Design and implement new tools and techniques to improve the quality and efficiency of operational processes.
  • Identify improvements in internal processes against best practices in pursuit of greater efficiency in line with ISO standards in order to define intelligent solutions for issues confronting the function.
Health, Safety, Environment (HSE) and Sustainability
  • Comply with relevant HSE policies, procedures & controls and applicable legislation and sustainability guidelines in line with international standards, best practices and ADNOC Code of Practices.
Reports
  • Provide inputs to prepare Section MIS and progress reports for Company Management.
