Job Description

The Office of Board of Trustee Affairs is seeking a Coordinator who will be supporting the Director of Board of Trustee Affairs in coordinating governance-related activities within the university. This position contributes to the efficient functioning of the Board Affairs office by managing office operations, providing administrative support, overseeing logistical aspects of meetings, facilitating communication between the Director and internal/ external stakeholders, and ensuring compliance with governance policies.

Job Responsibilities

Office operations and administration
  • Provide comprehensive administrative support to the Director.
  • Serve as a liaison between the Director and stakeholders.
  • Efficiently handle all incoming and outgoing communications.
  • Manage day-to-day office operations.
  • Maintain Board office spaces efficiently.
  • Facilitate knowledge sharing to support the onboarding of new team members.
Board meeting coordination
  • Manage the logistical aspects of Board meetings, overseeing tasks such as scheduling, venue coordination, technology setup, catering arrangements, travel logistics, RSVP tracking and preparation of materials.
  • Support the Director by aiding in the creation of detailed meeting agendas, as well as drafting, editing and proofreading documents, reports, and presentations.
  • Monitor and ensure the follow-up on action items that emerge from Board meetings, maintaining a comprehensive tracking system.
Communication Management
  • Serve as a liaison for effective internal and external communication, relaying messages and providing timely responses.
  • Oversee internal and external communication materials, ensuring consistency in messaging and branding.
Compliance Oversight
  • Ensure all Board activities comply with regulatory requirements.
  • Stay abreast of relevant regulations and governance policy changes.
  • Uphold and promote ethical standards within the office.
  • Collaborate with internal and external auditors to facilitate audits related to governance practices and compliance.
Qualifications and Skills Required
  • Bachelor\'s degree in Business Administration, Public Administration or a related field.
  • Proven track record of successful administrative roles, preferably in a university or similar setting.
  • Excellent organizational and communication skills.
  • Professional demeanor with strong interpersonal skills.
  • Discretion and the ability to handle sensitive information with confidentiality.
  • Meticulous attention to detail, particularly in tasks related to the preparation and maintenance of accurate records.
  • Familiarity with governance practices and procedures.
  • Proficiency in office software and document management.
  • Fluency in English, with a preference for proficiency in Arabic.
  • UAE National preferred.
