MAIN OBJECTIVE OF ROLE To provide administrative support to the Head of Security and the flydubai Aviation Security Department. To be well informed on all AVSEC aspects within the organization. KEY RESPONSIBILITIES 1. Acts as the primary point of contact for all internal and external requests. 2. Monitors, assigns, and distributes among FZSEC AVSEC members any emails and other requests specific to division and or speciality. 3. Responds to phone calls/emails in a timely and professional manner ensuring matters are directed to the appropriate speciality within the department for resolution 4. Keys in and manages data into various administrative systems 5. Ensures all meetings are planned and organised efficiently and records and logs accurate and detailed meeting minutes. 6. Organises and maintains digital files and folders, ensuring proper naming conventions and file formats are used in the flydubai Security Department Share Folder. 7. Ensures all files and records are compliant with company and relevant laws and regulation. 8. Works closely with team members to ensure timely completion of all transcription tasks. 9. Transcribes handwritten notes into digital format, using Microsoft Office or other digital software as needed ensuring accuracy and completeness of all transcribed notes. 10. Arranges Duty Travel for department team members (including hotel and transport) and ensures completion of post duty travel administrative tasks 11. Maintains an accurate record of any stock or other resources inventory levels, including tracking usage. 12. Coordinates third party invoice requests and payment follow- ups 13. Promotes AVSEC across the entire company using the principles outlines in the company Security Management Systems (SeMS)
