Job Description

The Contracts Manager will be directly responsible for the comprehensive lifecycle management of all Annual Maintenance Contracts (AMCs) across our diverse service portfolio. This strategic role is pivotal in ensuring contractual compliance, maximizing client retention, and driving efficiency by fully leveraging PACT ERP from initial quotation through to contract closure and financial reconciliation. The Contracts Manager will proactively oversee contract timelines, lead renewal strategies, identify and mitigate risks, and ensure all terms are met, contributing directly to the company's profitability and client satisfaction

Key Responsibilities:



- Lead the comprehensive lifecycle management of all AMC contracts, ensuring their effective administration, performance, and renewal.

- Own the accurate entry and maintenance of all AMC contract details, including start/end dates, service schedules, payment terms, renewal dates, and scope.

- Leverage system features to optimize AMC lifecycle tracking, setting up alerts and managing service schedules.

- Generate comprehensive, timely reports on contract status, renewals, payment, and service compliance for management and Project Managers.

- Ensure accuracy, completeness, and consistency of all AMC data within the system.

- Coordinate timely and accurate AMC invoicing and monitor payment status, assisting with follow-up.

- Drive continuous improvement initiatives for contract management processes and documentation, ensuring optimal efficiency and effectiveness.

- Act as the primary point of contact for resolving contractual discrepancies, disputes, or escalations, engaging relevant management as required.

- Verify new AMC quotations for contract setup, activate new contracts, and inform internal teams of service commencement.

- Administer and track service schedules for all AMC services, guiding operational teams.

- Oversee and ensure strict adherence to all contractual terms, conditions, and Service Level Agreements (SLAs) for all services.

- Process and document contract variations or amendments, ensuring updates are formally recorded.

- Ensure proper contract closure upon completion or termination, with financial reconciliation.

- Proactively identify and address any administrative discrepancies or missing contract information.

- Actively assess potential contractual risks, analyze their impact, and Provide strategic insights and recommendations to General Management regarding contract performance, market trends, and portfolio optimization

- Manage timely notification of upcoming contract expirations, alerting Project Managers.

- Prepare and provide contract history and data to Project Managers for renewal negotiations.

- Implement systems to prevent services continuing after contract expiry, coordinating with operational teams based on system data.

- Liaise with Sales Engineers, Admin Assistants, Operational Teams, and Finance/Accounts Department on contract terms, schedules, updates, invoicing, and reconciliation.

- Provide regular administrative reports to General Management on AMC portfolio status and adherence.

- Draft customized contracts based on specific service types, client requirements, or project scope.

- Ensure all contracts are signed and executed in accordance with company policy and legal formalities.

Qualifications



- Bachelor's degree in, Law, Finance, a related field. A Master's degree or professional certification in Contract Management (e.g., Certified Commercial Contracts Manager - CCCM) is highly advantageous.

- Minimum of 5 years of progressive experience in contracts management, senior contracts administration, or a similar role with significant responsibility for the entire contract lifecycle.

- Demonstrated experience in identifying, analyzing, and mitigating contractual risks.

- Experience within the facilities management, property services, or specialized technical service industries (e.g., firefighting, waste management, landscaping) is a strong plus.

- Hands-on experience with PACT (or a similar comprehensive ERP system) is essential, with a strong understanding of its application in contract, financial, and service management modules.

- Advanced proficiency in Microsoft Office Suite, particularly Excel for complex data analysis, reporting, and modeling.

- English proficiency

- Native Arabic speaker

Job Type: Full-time

Pay: AED7,000.00 - AED10,000.00 per month
