Job Description

To consolidate and efficiently index the various contracts and all associated documents in the contracts database system, in collaboration with the business/user department, contributing the required process orientation and expertise. This position is responsible to facilitate and coordinate effective cross functional teamwork and act as an interface for managing all related contracts accordingly.

Job Outline:

- Generate reports on a regular and ad-hoc basis, related to all aspects of contract management and communicate to the Procurement team and other relevant business units. Perform other functions relative to contract management as required by the department

- Support the contracts management unit to develop and enhance the process and tools in order to deliver the output efficiently with a quick turnaround.

Contract Management :

- Follow-up on FOC spare parts, ensure contractual data is recorded through the contract compliance system to ensure contractual compliance through an FOC purchase order issued by the concerned stakeholders (i.e. the Components Management Team, Material Provisioning and Inventory Control Teams).

- Follow-up on contractual credit, raise contractual claims through the e-warranty workflow system in order to enable the concerned approval authority and EK Finance and Accounts payable for accounting purposes.

- Review and follow-up eligible man-hours reimbursements and parts replacements covered under all aircraft commitment letters (Boeing & Airbus), including service bulletin modifications and pass on the information to the Warranty Coordinators in order to initiate appropriate claims against suppliers.

- Serve as the primary point of contact regarding all contractual matters related to Aircraft procurement and ensure proper scanning of signed Buyer Furnished Equipment (BFE) contracts, General Terms Agreements etc., in a timely manner upon receipt from the Procurement Manager to the Digital Archive System (DAS) and accordingly maintain hardcopy contracts in the Procurement Department files.

- Ensure that all subsequent amendments to the BFE contracts, General Terms Agreements etc., are reflected both in the Contracts Management repository and hardcopy forms in a timely manner, to ensure all user departments/business units are referring to the most up-to-date information.

- Through effective collaboration with the relevant business units and application of process expertise, ensure all contracts and agreements of varied nature, are accurately and efficiently indexed. Upkeep, update and index the Aircraft Readiness Logbook related to new aircraft delivery into the Engineering Procurement Portal, so as to facilitate in liaison with relevant stakeholders the closure of all new aircraft delivery commitment letters.

Price Control and Spare parts catalogue review.

- Generate the annual price adjustment calauations, extract report of all purchases history based on value and volume of the previous 12 months and contact the Supplier to obtain the new year price catalogues & follow up.

- Review the annual spare parts catlouge prices and analysis the new year price adjustment rates VS the published escalation rates. Run cost analysis to identify the cost impact for such escalation and submit the studies to Contracts management specialit for review and further approval. Prepare Data File of all part numbers and suppliers list, Sanitizing the previous / current price catalogue price list provided by Suppliers and loading into Aeroxchange.

- Generate the annual Contractual Price Adjustment study completed by various suppliers in line with the respective contracts.

- Analyze the comparison report for any parts covered under EK bilateral agreements, PSAA, SSC. Perform the price catalogue analysis versus the contractual price adjustment rate and prepare summary sheet for approval.

- Contact suppliers and Sourcing lead if there is any price / LT delivery adjustment not aligned with the allowable escalation rate.

- Ensure mandatory checks before uploading the catalogue in UM, Upload approved prices in UM and sharepoint site and publish the approved catalogue & update the status report.

- Prepare and review discrepancy of PO unit price vs price catalogue approved and updated in UM.

Reporting and Data Analytics.

- Generate reports to provide details of actions required on the standard practices carried out by Reporting team within Procurement Aircraft.

- Responsible to deliver several statistical analysis, analytical tools and generate various reports to enable management reviews for ascertaining latest status and operational, tactical and strategic planning purposes.

- Generate reports to provide Suppliers performance matrix (KPI) that will support the supply chain risk Assessment.

- Run data analysis / extracts from financial websites to support the financial risk assessment process.

Vendor Management

- Ensure all VIA requests raised for Vendor Management update in UM.

- Monitor the Vendor approval liecences expiry date and enagage with the respective stakeholder for renewal process and per the process and compliance procedure manauals.

- Run reports and follow up with the relevant stakeholder to renewal / suspend the relevant vendor liecences in UM.

- Review all P/N warranty update queries received from the stakeholders and ensure accurate terms are updated by the relevant Warranty staff in the Ultramain system, as well as referring to the individual supplier contracts for specific details and/or exceptions listed in related documents.

- Update the approved spare prices in UM and maintain tracking records.

12 Years schooling or equivalent :

Knowledge/skills:
- Experience in Warehouse and Logistics, Repairs Management, Materials.
- - Experience in Planning/Support and Inventory Control, Technical Purchasing or any other support service
