Business Support Officer

Job Description

We are looking for an administrative professional to provide varied general business support to our office in Dubai. You will have excellent attention to detail, time management skills and must be able to work independently. Forming an integral part of a small close-knit team, you will work closely with local colleagues, external vendors, suppliers and our wider global team to keep the office running efficiently.

Main duties and responsibilities:





Provide general administrative support to the Resolution IT Dubai office including:


Maintain an asset log of work devices including laptops and phones and complete regular reconciliations of these items. Undertake administrative support towards client queries, complaints and CSAT Amber and Red alerts, ensuring these are dealt with according to the Complaints SOP. Ensure new contracts are created correctly in Autotask to renew contracts and subscriptions as required and as per SOP. Undertake approve and post tasks in Autotask to prepare charge and labour entries in preparation for billing. Amend tickets where necessary and escalate errors. Creating and distributing billing information via Autotask for tickets within managed customer contract to account managers to ensure tickets allocated correctly. On completion of account managers review make amendments within autotask as required as per SOP. (Monthly Billing Report). Assist with completing reports and reviewing contract profitability and profit and loss data, escalating concerns to appropriate staff. Support the debtors process to chase clients to ensure invoices are paid within prescribed company timelines. Working with the company finance managers, support general accounting, budgeting and financial planning activities including the maintenance of accurate financial records, including accounts payable and receivables. Lead on the reconciliation of bank statements and company cards, working with members of the team to ensure that payments are accounted for. Create and process invoices, expense claims, and payments in a timely manner. Source and procure IT equipment, software and licences, office supplies, equipment, and services for internal and clients ensuring accuracy and cost efficiency. Develop and maintain relationships with suppliers and negotiate contracts where necessary. Ensure compliance with company and statutory financial and procurement policies and procedures. Process purchase orders, track deliveries, verify invoices and maintain accurate records of purchases and inventory. Undertake other duties as required by the Managing Director of Resolution IT MEA DMCC.

Key Criteria:


Excellent IT skills and the ability to understand or learn technical concepts. Ability to work independently and under own initiative. Strong organisational and time management skills Experience using accounting software and internal IT systems. Excellent organisational and administrative skills. General business and commercial awareness to achieve efficiencies. * You will ideally have experience in either bookkeeping, accounts or purchasing (Desirable).
