1. Purpose of the Role
The Business Development Assistant supports the Business Development team and the CBDO by managing tender and proposal-related activities, coordinating tasks across departments, and ensuring timely and accurate documentation and submission. This role is crucial in streamlining the bidding process and providing operational and administrative support to business development functions and executive leadership.
2. Key Responsibilities
A. Tender & Proposal Management
Monitor online portals for RFPs, tenders, and business opportunities on a daily basis
Download and analyze RFP documents and identify key requirements
Coordinate with technical and finance teams to gather necessary input for proposals
Assist in preparing technical and commercial proposals in compliance with client requirements
Complete bid forms, checklists, and declarations as required by each RFP
Ensure timely submission of proposals via client portals
Maintain a database of submitted proposals, deadlines, and outcomes
B. CBDO & Executive Support
Provide direct administrative and coordination support to the CBDO
Attend internal and external meetings, prepare minutes, and track follow-up actions
Help schedule and coordinate meetings, events, and inter-department communications
Support the CBDO in managing key business tasks and project deadlines
C. Coordination & Documentation
Liaise between departments (technical, legal, finance) to ensure smooth proposal development
Manage document version control, filing systems, and archives for proposals and contracts
Maintain trackers for ongoing proposals, RFPs, and task statuses
Support the development of standard templates and documentation for repeated use
3. Qualifications & Skills
Bachelor's degree in Business Administration, Marketing, or related field
1-3 years of experience in business development, administration, or proposal support
Excellent communication and coordination skills
Strong attention to detail, organizational skills, and ability to multitask
Proficiency in MS Office Suite (Word, Excel, PowerPoint); experience with tender portals is a plus
Familiarity with proposal writing, contract formats, and document control practices
Discretion and professionalism in handling executive-level matters
4. Work Conditions
Based at the head office with occasional travel to client or partner meetings (if needed)
Flexible hours may be required to meet urgent submission deadlines
