Job Summary
The BIM Document Control Specialist is the guardian of all BIM-related data and documentation throughout the project lifecycle. This role is responsible for managing, organizing, and controlling the vast array of digital files, models, and documents associated with BIM projects. The ideal candidate is highly organized, possesses a strong understanding of BIM processes and standards (like ISO 19650), and is proficient in Common Data Environment (CDE) platforms. You will be the central point of contact for project teams regarding document management, ensuring that the right information is available to the right people at the right time.
Key Responsibilities
Document & Data Management:

  • Establish, implement, and maintain the document management system and protocols for all BIM projects in accordance with company and project-specific standards (e.g., ISO 19650).
  • Manage the project Common Data Environment (CDE), such as Autodesk BIM 360/ACC, Procore, Viewpoint, or similar platforms.
  • Receive, process, and distribute all incoming and outgoing project documents, including models, drawings, specifications, reports, and transmittals.
  • Ensure all documents are accurately named, numbered, version-controlled, and filed in the correct location.
  • Monitor and enforce adherence to the company's BIM Execution Plan (BEP) and Project-specific documents.
  • Maintain a rigorous audit trail of all document transactions, including status, revisions, and approvals.
Quality Assurance & Control:
  • Perform quality checks on submitted models and documents for compliance with naming conventions, required LOD (Level of Detail), and submission standards.
  • Facilitate the clash detection process by managing model aggregation and results distribution, though not necessarily performing the analysis itself.
  • Assist in the validation of model deliverables against project requirements before issuance to clients or other stakeholders.
  • Archive completed project data according to company and client retention policies.
Collaboration & Support:
  • Act as the primary administrator for the project CDE, setting up user accounts, permissions, and workflows.
  • Provide technical support and training to project team members on document control procedures and CDE software use.
  • Collaborate closely with the BIM Manager, Project Managers, designers, engineers, and external partners (contractors, clients, consultants).
  • Generate and distribute standard and custom reports on document status, submittals, and RFIs.
  • Attend project meetings to report on document control status and address related issues.
Process Improvement:
  • Continuously identify and recommend improvements to document management workflows to increase efficiency and reduce errors.
  • Stay current with industry best practices, emerging technologies, and standards related to BIM and document control.
Qualifications & Experience
Required:
  • Proven experience (3+ years) in a document control role, preferably within the AEC (Architecture, Engineering, Construction) industry.
  • Essential experience with Common Data Environments (CDE), particularly Autodesk BIM 360/Autodesk Construction Cloud (ACC).
  • Strong understanding of BIM concepts, processes, and lifecycle.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (especially Excel) and Adobe Acrobat.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and projects simultaneously in a fast-paced environment.
Highly Desirable:
  • Formal training or certification in BIM (e.g., ISO 19650).
  • Experience with other CDE platforms (e.g., Procore, Viewpoint, ProjectWise, Asite).
  • Basic understanding of BIM authoring software (e.g., Revit, Navisworks, AutoCAD) to effectively check and manage files.
  • Knowledge of construction documentation processes (RFIs, Submittals, Transmittals).
  • Associate's or Bachelor's degree in Information Management, Construction Management, Engineering, Architecture, or a related field.
