To manage the relationships with the owners, owner's representatives and landlords and ensure the managed property portfolio in Abu Dhabi and Al Ain is maintained to an optimum level of condition to generate the highest level of income for the stakeholders.

Generic Accountability

Strategic Contribution

  • Ensure effective cascading of the functional strategy into department business plans to ensure vertical alignment and horizontal integration with other interfacing departmental strategies.
People Management
  • Manage the effective achievement of assigned objectives through the leadership of the Property Management AUH & Al Ain department by setting of individual objectives, managing performance, developing and motivating staff to maximize sectional performance.
  • Lead the talent development initiatives for the assigned department, collaborating with technical /discipline experts and thereby ensure the availability of talent to fit business requirements.
  • Act as a role model and drive adherence to organizational values and ethics by employees of the assigned department to foster a value driven culture within the bank.
  • Budget and Financial Planning
Manage the preparation and recommend the department budget and monitor financial performance versus the budget while ensuring all sectional activities are conducted in line with the approved guidelines.

Policies, Systems, Processes & Procedures
  • Manage and ensure effective implementation of Real Estate functional policies, procedures and controls covering all areas of assigned department activity so that all relevant procedural/legislative requirements, are fulfilled while delivering a quality, cost -effective service.
Continuous Improvement
  • Lead the identification of opportunities for continuous improvement and sustainability of systems, processes and practices considering global standards, productivity improvement and cost reductions.
Reporting
  • Ensure that all unit reports are prepared timely and accurately and meet FAB requirements and the department's policies and quality standards.
Job Specific Accountabilities
  • Manage the teams responsible for residential/commercial/industrial property management in Abu Dhabi and Al Ain and ensure FAB Properties operational policies and procedures are observed with regards to contract issuance, tenancy transfers, break-leases and check-in and check-out protocols.
  • Ensure the respective property teams observe the protocols for the connection of utilities, water and electricity, and registration with Tawtheeq for all new projects, existing and take-over projects, together with clearances, settlement and transfer of units.
  • Ensure the Property Management System (UBS) is an accurate representation of the property portfolio under management and that any changes to contracts are captured and recorded.
  • Manage the team responsible for Renewals, vacating and who are the liaison point between FAB Properties and the Tenants.
  • Ensure the efficient handover of properties to owners and landlords as per FAB Property policy.
  • Liaise with FM to ensure the managed properties common facilities are maintained in optimum condition to generate maximum revenue.
  • Ensure the Property Management team deliver an engaging and unified customer experience to prospective and existing landlords/tenants.
  • Manage the PM team responsible for issuance of contracts, renewal and termination of contracts for the Al Ain property portfolio.
  • Ensure the operational PM procedures defined in the Operations Manual are complied with and the appropriate documentation is raised.
  • Ensure renewal notifications are issued to individual tenants three months prior to expiry of contracts.
  • Oversight renewal of contracts, process rent reduction requests, break-lease and short lease extensions as per the procedures outlined in the Operations Manual
  • Oversight any vacating request occurring at expiry of lease, by notifying the respective PM team for Check-Out.

  • Collect all administration charges pertaining to the issuance, renewal or termination of contract.
  • Oversight all enquiries from existing tenants relating to property management.
  • Oversight all new properties have leasing signboards when property is ready for leasing.
  • Oversight the PM team deliver an engaging and unified customer experience to prospective and existing landlords/tenant.
  • Oversight collecting VAT charges from commercial leases.
  • Oversight that all data input properly while property take over and replacing cheques.
  • Receiving complaints from walk in customers and CMS.
  • Communicate with related departments.
  • Communicate with customers through calls and circulars in the properties.
  • Handle portfolio with all necessary follow up (due for renewal, complaints, and reports) and ensure that team doing the same.
  • Follow for rent collection from the government departments.
  • Ensure weekly, monthly reports are generated and submitted to management.
Specific Accountability
  • Initiate any legal cases, logging and following up the case with the Legal team and the assigned lawyer's office.
  • Handle and address any local Government issues.
  • Resolve any complaints from either landlords or tenants.
  • Follow all issues related to Municipality and AADC.
  • Assisting on Leasing the vacant units.
Qualifications

Minimum Qualification
  • Bachelor's degree in Arts (BA) or Sciences (BS) or another related discipline.
Minimum Experience
  • Minimum of nine years' relevant experience in the property management and leasing sector in the UAE with at least three years in similar positions of progressively increasing managerial responsibilities in the Real Estate leasing function.
