Job Description

1. Administrate and facilitate for the smooth functioning of Yard, Office & Company provided accommodation of RCER Divisions as per the instructions of the respective General Managers (GM-ER & GM-FR) and in line with the Company standards. 2. To set goals and deadlines for the department. 3. Responsible for accommodation arrangements after conducting market survey and should submit a detailed MIS report based on the respective quotes received and arranging transportations of our employees (staffs and workmen) in co-ordination with HR Dept. Must plan and manage the current and future requirements too. Status reports to be generated on weekly and monthly basis. Must make necessary accommodation and transportation arrangements for Clients, guests and employees from our sister concerns. 4. Responsible for Facilities management. Liaise with Authorities and facilities management companies for office maintenance and repairs. To liaise with Landlords for land acquisition/staff accommodations and conduct effective lease negotiations and agreements in consultation with finance department. 5. Initiate actions for accommodation requirements as per the histogram provided by the respective departments. To facilitate setting up of new site offices and camps, internal infrastructure modifications, electrical, air conditioning, furniture, etc. 6. Must plan, manage and coordinate with concerned departments and HR for seating arrangements of the new joiners and transferred employees. 7. Responsible to plan and manage office stationery. Must prepare monthly stationery demand sheet and review for cost effectiveness. And, needs to plan & supervise the sweet water distribution to departments and to prepare weekly & monthly water consumption report. 8. To maintain and supervise the house keeping at the factory areas including production offices and main office. Must maintain, supervise and execute waste management in the company in line with the rules and regulations of Dubai Municipality. And responsible to supervise and maintain electrical and other office appliances to keep up to date in running condition. 9. To analyze internal processes and recommend and implement procedural or policy changes to improve administrative operations. 10. To monitor the entire facility to ensure that it remains safe, secure, and well-maintained. To supervise security gate procedure and all vehicles inward & outward movement. And, needs to oversee the gate pass procedures too. 11. Should co-ordinate with fire and safety people for periodical maintenance follow ups. 12. Should be able to oversee the day-to-day administrative activities of the office. This may include ordering supplies by checking stocks to determine inventory level, scheduling maintenance & repair of the company owned accommodations as per the agreement with the landlord, office's equipments and evaluating new office products, placing & expediting orders for supplies; verifying receipt of supplies, maintaining over all admin related meeting schedules and reviewing contracts. 13. Designing filing systems, establishing personal networks, assigning & monitoring clerical functions related to administrative works. 14. Must maintain a positive attitude and producing high-quality work. Anticipated assistance needed by identifying problems, needs, options & solutions before being asked. Deal with clients to resolve their complaints/ queries through effective communication. 15. Liaised closely with other Managers, General Managers, CEO in developing opportunities in line with the Company's objectives. Must develop and maintain excellent business relationships with Clients, Local Authorities and Organizations. 16. Liaise with other HOD's, Senior Executives and prepare MIS reports. Must prioritize work activities to meet tight deadlines. Must participate in key decision making. 17. Responsible to plan and implement office events & activities. 18. Oversee the preparation of payment vouchers, quotations, LPO'S, reports and other related documents. Timely submission of invoice and follow up on payment for services. 19. Should conduct survey of local market for availability of materials in a cost effective manner. 20. Taking care of insurance related to Vehicle Fleet Policy, Property All Risk Policy and Contractors Plant & Machinery Policy and taking quotes for renewal, negotiation of the same and claim intimation and follow up with Insurance provider. Claim intimation and follow up with Insurance provider. 21. Responsible for the coordination's with Civil Defence Dept. Should be liable for applying, renewal and cancellations of Dubai Electricity and Water Authority (DEWA), Emirates District Cooling LLC (EMICOOL), Tenancy contracts, Post office and Ejaris. 22. Confirms procedures and documents are complying with certification (ISO/ IMS) requirements, if applicable. 23. Must organize development training in co-ordination with HR Dept. 24. Any other assignments entrusted by the Management from time to time. Job Type: Permanent Salary: AED5,000.00 - AED6,000.00 per month Ability to commute/relocate:
