Job Description

JOB TITLE: Administrator DEPARTMENT: HR REPORTING TO: HR Business Partner MEA LOCATION: Dubai ADDITIONAL INFO: Working from Dubai Office PURPOSE OF POSITION: The main purpose of this role is to provide administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of HR-related tasks like expatriate logistics organization, communication and any other related administration. Responsible for confidential and time sensitive material. Need to familiarise themselves with a variety of company practices and procedures in order to give the necessary guidance to employees, especially new joiners. KEY RESPONSIBILITIES HR Administration
  • Preparing and processing paperwork and relevant applications for acquiring new visas and work permits for employees and their families.
  • Cancellations of Visa?s and work permits for exiting employees.
  • Support expat employees with house-hunting, transportation and children schooling.
  • Manage administration of employee benefits
  • Manage filing and all record-keeping related to employees and family members sponsored by the company.
  • Assisting in any other general HR administration duties, like sending out staff announcements, setting appointments for new joiners during immersion, etc.
Compliance
  • Responsible for ensuring all Company licenses are up to date.
  • Managing the labour and immigration directly with government offices and management on various legal issues
General Administration
  • Order office supplies and ensure they are replenished timely.
  • Ensure invoices are processed timely for payment.
  • Ensure office equipment is working fine and arrange for repairs if not working.
  • Assist with organising ad-hoc office functions and events.
  • Organize travel arrangements for senior managers.
  • Facilitate all other business-related travel i.e. flights, accommodation and visa application.
  • Cover the reception desk when required.

PERSONAL QUALIFICATIONS & EXPERIENCE
Education/achievements Required
  • Post-Secondary School qualification
Preferred
  • Business bachelor?s degree
Experience/Knowledge Required
  • Knowledge of office management systems and procedures
  • Experience in liaising with government offices
  • Knowledge of managing expatriate logistics in the Middle East
  • Experience in sourcing and managing suppliers.
  • Experience in travel arrangements
  • Working knowledge of MS Office with Advanced knowledge of Excel
Preferred
  • Understanding of French.
