Position: Administrative Operations Assistant Position Reports to: CEO Position Summary: The Administrative Operations Assistant (AOA)will help the Chief Executive Officer (CEO) manage the day-to-day operations of the business and warehouse. The AOA will perform administrative, reconciliation and customer service duties. Other tasks include IT, sales, marketing, and warehouse duties. Duties & Responsibilities:
Review invoices, purchase orders, etc. for completeness and accuracy; compile data and generate reports
Provide support and assistance to other staff positions
Maintain an accurate list of inventory and stock supplies
Perform relief clerical duties and related duties, as required
Complete operational requirements as required
Must work well with team members as well as independently
Must be able to follow up with client payments via e-transfer, certified/company cheques, etc.
Must be able to complete warehouse duties including shipping and receiving
Support a wide variety of ongoing projects including day to day operations, sales, customer service, tech support, and marketing duties
Office support includes mail, basic bookkeeping, filing, and organization
Maintain an accurate payment terms list. Monitor these accounts and follow up for payment. If unresponsive, let CEO know to follow up.
Inventory management:
- Monitor and report on the company\xe2\x80\x99s inventory - Ensure that all business operations have adequate material to achieve their objectives - Devise ways to optimize inventory control procedures - Inspect product stock to identify shortages - Ensure product stock is adequate for all distribution channels and can cover direct demand from customers - Record daily deliveries, shipments, sales to reconcile inventory - Use software to monitor demand and document characteristics of inventory - Analyze data to anticipate future needs - Collaborate with warehouse employees and other staff to ensure business goals are met - Report to upper management on stock levels, issues etc.
Ensure that the office area is neat, clean, and tidy
Perform IT tasks and graphic design
Perform any operational tasks as required
Education:
Degree/diploma in a related field or an equivalent combination of education and experience
Qualifications: Required:
Good command of the English language

Ability to accurately track inventory and create reports

Strategic and analytical skills
Administrative writing skills
Proven admin or assistant experience
Knowledge of office management systems and procedures

Proficiency in MS Office
Excellent client-facing and internal communication skills
Preferred:
Degree/diploma in any of the following areas: office administration, business management, project management, or equivalent knowledge in this area
Creative and innovative
Basic Adobe Creative Suite knowledge is an asset
