We are seeking a highly organized and detail-oriented
Administrative Officer & Receptionist
to manage daily administrative operations. This role is critical to ensuring accurate documentation, smooth internal coordination, proper record-keeping, and effective communication across departments. The ideal candidate will be proficient in Microsoft Office, document control, and professional business communication, with the ability to handle confidential information responsibly.
Key Responsibilities
Manage and maintain administrative records, reports, and company documentation
Coordinate preparation and tracking of quotations, contracts, service reports, and sales-related documents
Ensure proper filing, scanning, and archiving of digital and physical documents
Monitor timelines related to contracts, trials, and service activities and follow up with relevant departments
Handle company email accounts, incoming inquiries, and internal notifications
Support management with meeting coordination and preparation of minutes of meetings
Draft official internal communications, including memorandums and announcements
Coordinate front-desk and reception duties, including call handling and visitor support
Assist with employee documentation, including IDs and internal records
Liaise with operations, sales, and finance teams to ensure administrative accuracy and consistency
Required Skills & Qualifications
Proven experience in an administrative, office coordination, or executive support role
Strong organizational and multitasking skills
Proficiency in Microsoft Office (Excel, Word, Outlook)
Excellent written and verbal communication skills
High attention to detail and ability to manage confidential information
Ability to work independently and meet deadlines
Preferred Qualifications
Experience in contract administration or document control
Familiarity with service-based or facilities management environments
Basic knowledge of sales support and invoicing processes
