Job Summary
As an Administrative Assistant in our Property and Asset Management department, you will provide essential support to ensure the efficient operation of the team. Your responsibilities will include administrative tasks, document management, and assisting with property-related activities. This role plays a crucial part in maintaining the department\'s smooth functioning.
Key Responsibilities
Administrative Support
  • Assist with scheduling meetings, appointments, and maintaining calendars for department members.
  • Handle incoming calls and emails, directing inquiries to the appropriate team members.
  • Prepare and distribute internal and external correspondence.

Document Management
  • Organize and maintain departmental records, files, and documents, ensuring easy retrieval.
  • Assist in the preparation and distribution of property-related documents, including leases and contracts.

Data Entry
  • Accurately input and update property data in databases and spreadsheets.
  • Generate reports and maintain data integrity.

Tenant Relations
  • Act as a point of contact for tenant inquiries and requests, forwarding them to the relevant team members.
  • Assist in maintaining positive tenant relationships.

Office Organization
  • Keep the department\'s workspace organized and ensure office supplies are well-stocked.
  • Assist in maintaining a clean and efficient work environment.

Financial Assistance
  • Assist with processing invoices, tracking expenses, and other financial-related tasks.
  • Coordinate with the finance department for timely payments and budget tracking.

Qualifications
  • High school diploma or equivalent; associate\'s degree or relevant certification is a plus.
  • Previous administrative experience is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to maintain confidentiality and handle sensitive information.

Working Conditions
This is primarily an office-based position. Some flexibility in working hours may be required to accommodate meetings and deadlines.
