Job Description

Job Purpose:

To support relevant department by providing professional administration related services, enabling the team to function effectively and efficiently.

Roles & Responsibilities:

\xc2\xb7 Develop Document Control Matrix

\xc2\xb7 Maintain all IMS Related Documents by Site by topic in folders.

\xc2\xb7 Maintain summary of all IMS Related Documents for ATM, PM and NCR

\xc2\xb7 Communicated with all Site\xe2\x80\x99s IMS Chairman and committees for maintaining upto date documents.

\xc2\xb7 Maintain all the IMS Related Training Record

\xc2\xb7 Arrange for IMS related trainings by coordinating with all locations and selected vendors.

\xc2\xb7 Coordinate with all locations, managers and IMS document controllers if there is any shortage of fire wardens and first aiders and arrange for training accordingly.

\xc2\xb7 Maintain the site wise document tracker.

\xc2\xb7 Distribute the IMS posters, signage, maps, plans, display board etc by site.

\xc2\xb7 Follow-up with each site IMS Document controller and the IMS Chairman for effective management of IMD documentation and timely updating the compliance.

\xc2\xb7 Carry out Incident and accident analysis, track the incident investigations and corrective/preventive actions tracker by site.

\xc2\xb7 Monthly-wise prepare incident tracker (basis B-Wise) along with security reports.

\xc2\xb7 Prepare quarterly report related to incidents.

\xc2\xb7 Maintain security enhancement tracker by site.

\xc2\xb7 Support Admin and procurement requirements for site

\xc2\xb7 GSS department filing and documentation.

\xc2\xb7 Manage the Legal Register by periodic review and escalate if there are any changes to the LM.

\xc2\xb7 Support in all external audits with proper IMS documents

\xc2\xb7 Support the team in IMS site visits across the UAE.

\xc2\xb7 Maintain MoM for all internal IMS meetings, manage meeting room bookings.

\xc2\xb7 Support HSE Manager and Executive for related documents and statistics as required.

\xc2\xb7 Maintain and update Access Control system updates to issue and remove access rights to individuals as per management direction.

\xc2\xb7 Coordinate for stationery and otter general requirements.

\xc2\xb7 Work as a back-up support for Procurement Executive

\xc2\xb7 Maintain Share Point Sites for IMS and Security (manage access levels)

\xc2\xb7 Manage consumables and signage stocks and reorder as required with management approval.

\xc2\xb7 Participate in all other departmental activities and events.

Qualification & Experience:

\xc2\xb7 Graduate preferably in commerce or engineering diploma.

\xc2\xb7 Any HSE certification like IOSH/Nebosh is added advantage.

\xc2\xb7 2 \xe2\x80\x93 3 years experience in similar role (administration, stock management, HSE)

\xc2\xb7 Well versed with MS Office especially in Excel and PPT
