Admin Team Lead – Relocation Services

Job Description


The Admin Team Lead Relocation Services plays a key role in ensuring the seamless execution of relocation services through accurate administrative processing, client platform management, billing, and audit controls. This role leads a team of administrators responsible for supporting operations by managing internal and client-facing systems, maintaining compliance with client-specific scopes, and ensuring accurate financial documentation and reporting.
Administrative Operations:
  • Oversee the administrative process for job creation and tracking in Move Ones internal platforms (Move One ReloApp, Navision, etc.).
  • Ensure timely and accurate updating of external client systems and platforms (e.g., RMC portals).
  • Maintain detailed, up-to-date records of client-specific scopes of service, instructions, restrictions, and documentation requirements.
  • Coordinate with operational teams to ensure consistency and compliance in service delivery documentation.
  • Serve as the point of contact for internal queries regarding administrative procedures and client requirements.
  • Drive continuous improvement in administrative efficiency and accuracy.
Billing & Audit:
  • Supervise the generation and submission of client invoices in accordance with agreed billing formats and schedules.
  • Oversee documentation control and service confirmations to ensure billable services are accurately captured.
  • Conduct internal audits on completed jobs to ensure alignment with contractual scopes and that no revenue is lost due to underbilling or missed services.
  • Collaborate with the Finance and Operations teams to resolve discrepancies and maintain alignment on billing policies.
  • Track cancellations and non-billable work in alignment with client agreements and internal policies.
Team Leadership:
  • Manage and support the Admin Team, providing coaching, performance feedback, and professional development opportunities.
  • Allocate and monitor team workload to ensure timely task completion and accuracy across all administrative areas.
  • Support hiring, on boarding, and training of new administrative team members.
  • Foster a culture of accountability, detail orientation, and client service.
Skills
Minimum 2 years of experience in finance, accounting, billing, or administrative operations (relocation experience preferred).
Prior experience in a team lead or supervisory role is an asset.
Strong understanding of billing processes, financial systems, and client platform requirements.
High attention to detail with strong organizational and analytical skills.
Problem-solving mindset with the ability to identify and resolve billing or process inconsistencies.
Excellent written and verbal communication skills.
Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
Proficient in Microsoft Office (especially Excel and Word) and other financial tools.
