Job Description

Job Responsibilities



Deliver day-to-day administrative support to ensure smooth office operations. Serve as the primary point of contact for clients, suppliers, and internal stakeholders for general inquiries and documentation. Manage incoming calls, emails, and correspondence, ensuring timely responses and proper follow-up. Organize and schedule meetings, appointments, and business engagements for management and team members. Prepare, format, and distribute documents such as quotations, service agreements, business letters, and proposals. Maintain accurate records, filing systems, CRM databases, and documentation archives. Support in preparing internal reports, basic financial documentation, and coordinate with accountants when required. Coordinate with external suppliers and internal teams regarding quotations, invoicing, and project-related documentation. Assist in preparing basic presentations or client-facing materials using company templates. Track task statuses, proposal submissions, document expiry dates, and follow up with relevant parties. Assist in planning company activities, events, and small-scale project coordination. Provide overall administrative support to management and team members to ensure efficiency and compliance with processes.

Expectations and Requirements



Strong proficiency in spoken and written English. Excellent communication and follow-through skills, especially in dealing with clients and external parties. Strong organizational ability, attention to detail, and ability to manage multiple tasks simultaneously. Good knowledge of MS Office tools (Word, Excel, PowerPoint) or office management software. Experience in preparing business documents and basic presentations is an advantage. Ability to work independently while supporting multiple departments. Prior administrative support experience is highly preferred. Professional, organized, proactive, and eager to learn and improve processes.
