Job Description

Position Summary

The Admin Coordinator is responsible for overseeing the end-to-end process of order management, invoicing, logistics coordination, product and pricing updates, and communication with partners across the GCC region. This role ensures smooth operational flow, accuracy in documentation, and timely coordination between internal teams, resellers, and logistics partners.

Key Responsibilities

Order Processing & Invoicing

? Process and invoice B2B bulk orders, including local LPOs and outright orders.

? Manage virtual order invoicing and processing for online platforms.

? Handle order processing for GCC partners, including shipment coordination and documentation.

? Process orders from Amazon Vendor Central, including PO clubbing and shipment scheduling.

? Manage Online orders & installation orders using manual delivery note formats with warranty details.

Logistics & Shipment Coordination

? Schedule delivery appointments and arrange gate pass requests.

? Prepare and manage Proforma Invoices, Packing Lists, and Tax Invoices for both local and GCC shipments.

? Verify GCC compliance certificates and coordinate with logistics teams for on-time deliveries.

Product & Pricing Management

? Update Ex-Works pricing and communicate changes to relevant stakeholders.

? Share new product creation files with resellers and maintain updated brand listings.

? Announce promotions, price revisions, and new product or brand launches to the partner network.

Stock & Inventory Management

? Provide accurate and timely stock updates to resellers.

? Maintain stock information across multiple e-commerce platforms.

Communication & Coordination

? Liaise with GCC partners and internal departments to ensure smooth order flow and shipment tracking.

? Handle customer and partner inquiries promptly and professionally through email and phone communication.

Qualifications & Skills

? Bachelor's degree in Business Administration or a related field (preferred).

? Minimum 2-4 years of experience in order processing, logistics, or administrative coordination.

? Strong communication and interpersonal skills.

? Excellent organizational ability with attention to detail.

? Proficiency in Microsoft Excel (including VLOOKUP and data management).

? Familiarity with ERP systems and e-commerce portals.

? Ability to multitask and work effectively in a fast-paced environment.

Job Type: Full-time

Pay: AED4,000.00 per month

Experience:
