Job Purpose: To manage end-to-end Accounts Receivable operations, ensuring timely billing, collections, customer follow-ups, dispute resolution, credit control, and compliance with KYC and credit assessment policies. The role aims to improve cash flow, minimize credit risk, and support accurate financial reporting.
Key Roles & Responsibilities
A. Billing & Statement of Account (SOA):
Ensure Statement of Account (SOA) is generated and emailed to customers within a maximum of two (2) days after billing completion. Coordinate issuance of physical invoices where required and ensure receipt acknowledgement from customers. Ensure SOAs are shared with Relationship Managers (RMs) / Salesmen every Friday without delay. Verify billing accuracy and maintain proper documentation.
B. Customer Communication & Query:
Handling Respond to customer queries in a timely and professional manner as per defined turnaround times. Act as the primary contact for all AR-related customer communications. Maintain records of customer communications and follow-ups.
C. Invoice Dispute Management:
Track, analyze, and resolve invoice disputes within agreed timelines. Coordinate with internal departments such as Sales, Operations, and Billing to close disputes. Maintain an updated dispute register and report unresolved issues to management.
D. Collections & Overdue:
Follow-up Monitor customer ageing reports and conduct proactive follow-ups on overdue accounts. Improve collection efficiency through regular communication and escalation where required. Prepare and circulate daily collection reports to Salesmen. Ensure overdue follow-ups are documented and traceable.
E. Credit Control & Risk Management:
Monitor customer credit limits and send credit limit exceeded notifications to respective Salesmen every Friday. Identify customers requiring corrective actions, including: Holding Bill of Lading (BL)Stopping acceptance of new orders Reviewing 3PL non-moving inventory for customers with overdue payments Escalate high-risk accounts to management for timely decision-making.
F. AR Reporting & MIS:
Prepare Accounts Receivable reports with detailed collection plans.Ensure AR reports are completed and ready before MIS meetings. Provide accurate and timely data for management review and analysis.
G. KYC Compliance & Credit Assessment:
Verify and validate customer KYC documentation in accordance with company policies. Review Credit Assessment Forms for accuracy and completeness. Ensure renewal of expired credit assessment forms on time. Maintain proper KYC and credit assessment records for audit and compliance purposes.
Authority & Accountability:
Authorized to communicate directly with customers for AR-related matters. Accountable for timely SOA issuance, collections follow-ups, dispute resolution, and compliance with credit policies. Responsible for accuracy and timeliness of AR reports and MIS inputs.
Key Performance Indicators (KPIs):
Timely issuance of SOAs
Reduction in overdue receivables and DSO
Timely resolution of invoice disputes
Compliance with KYC and credit assessment timelines
Accuracy and timeliness of AR reports and daily collection updates
Qualifications:
Bachelor's degree in Commerce, Accounting, or Finance
Experience:
3-6 years of experience in Accounts Receivable, Collections, and Credit Control
Experience in B2B receivables and coordination with Sales teams preferred
Skills & Competencies:
Strong knowledge of Accounts Receivable and credit control processes
Understanding of KYC and credit risk assessment
Excellent communication and follow-up skills
Strong analytical and problem-solving abilities
Proficiency in ERP systems and MS Excel
Ability to work under deadlines and manage multiple priorities
