Job Description

  • Arrange submission of invoices against each work orders
  • Filing of all approved work orders inside company for all departments
  • Prepare invoices for all work orders and collect payments, Keep records for all payments
  • Collection of required documents to process invoices
  • Coordinate with operation team for timely invoices and further submissions
  • Obtain required reports from all departments for invoice submission such us delivery notes, work progress and work completion etc. and keep records for same
  • Coordinate with clients to fulfill the invoice submission requirements
  • Ensure invoices received by clients and processed
  • Obtain approval from management to provide credit facility to clients if required
  • Handle documents for availing credit facility
  • Keeping customer data's updates
  • Obtaining approval from management for credit approval for clients
  • Recording agreed payment terms against each work orders
  • Assigning work orders to the concerned department and engineers
  • Posting estimates / contracts into the system
  • Posting ref numbers against each work orders as per the assigned ref numbering system
  • Follow up to receive the payments as per the agreed payment terms
  • Obtain required reports from concerned engineers for invoice submissions
  • Keeping records for submitted invoices
  • Follow up to receive payments against submitted invoices
  • Prepare SOA for each client
  • Record payment receipts
  • Collect payments from all work orders
  • Ensure all work orders received inside company is recorded in the system
  • Follow up with engineers till receiving final payments of each work orders
  • Keeping records for all payment related documents
  • Manage company income to receive by collecting on time
  • Post the payments against each work orders
  • Keeping records for all receipt books
  • Prepare monthly profit loss report in coordination with accounts department
  • Submit monthly and quarterly accounts closing reports
