A great opportunity to learn and further develop your career with Mott MacDonald. our Win team are looking for a Win Administrator to support in all the required admin duties and ensure proper document management systems are maintained during the Win Stage.
Key responsibilities and duties are listed, but not limited to, the below:
Managing client e-procurement portals and regular checking for tender invitations
Logging new RFP\'s and EOI\'s in win tracker and updating the due dates according to any EOT received
Downloading the received RFP\'s from the Client Portals
Uploading the Technical and Financial Proposals on or before the due dates
Formatting Technical and Finacial proposals prepared on Word Documents as per MM brandingFormatting internal and external Powerpoint presentations
Tailoring and updating CV\'s when and as required Supporting Bid Principals/Managers with bid coordination including correspondences with client and handling all pre and post tender clarifications
Supporting Account Leaders to complete and update company\'s details on client registration system
Document classification, sorting, filing, archiving and retrieval of documents in accordance with Mott MacDonald project document indexing and filing Quality Control system
Receive all incoming correspondences, scan and register all incoming documentation
Ensure that a 24-hour document processing turn-around time is achieved and maintained
Distribute and file all win stage documentation in accordance with document management procedures and work instructions
Carry out handover, close-out and archiving of documentation
Carry out day to day administrative tasks such as filing, copying, binding, scanning, etc. as required
Manage in-house printing and professional printing through approved suppliers.
Providing leave cover in absence of any other Bid Coordinator.
