Job Description

Key Responsibilities



1. Fleet & Ambulance Management:



Oversee the maintenance, servicing, and readiness of the entire hospital fleet (ambulances, patient transport vans, staff buses, utility vehicles). Ensure all ambulances are fully equipped, sterile, and compliant with clinical and regulatory standards at all times. Manage the schedule for preventive maintenance, repairs, and annual licensing for all vehicles to minimize downtime. Coordinate with clinical teams to ensure ambulances are stocked and prepared for patient transfers.

2. Dispatch & Logistics Coordination:



Plan, schedule, and dispatch vehicles efficiently for patient transfers (inter-facility and external), staff transportation, and supply chain logistics. Prioritize emergency and critical patient transfers, ensuring the fastest possible response times. Utilize GPS tracking and fleet management software to monitor vehicle locations and optimize routes. Coordinate with bed management, nursing stations, and external healthcare facilities to schedule patient pick-ups and drop-offs.

3. Team Leadership & Supervision:



Lead, train, and schedule a team of drivers, dispatchers, and transportation aides. Foster a culture of safety, professionalism, and empathy, especially among drivers handling patients. Conduct regular performance reviews and ensure all staff are trained in defensive driving, patient handling, and infection control protocols.

4. Compliance, Safety & Administration:



Ensure strict compliance with all local traffic authority regulations, Department of Health (DOH) standards, and hospital safety policies. Maintain accurate and complete logs for trip records, vehicle maintenance, fuel consumption, and driver schedules. Manage relationships with external vendors, including fuel providers, maintenance garages, and parts suppliers. Investigate and report any incidents, accidents, or complaints related to the transportation service.

Qualifications and Experience



Education:

High School Diploma required; Diploma or Bachelor's degree in Logistics, Supply Chain Management, or Business Administration is preferred.

Experience:

A minimum of 5 years of experience in fleet/transportation management, with at least 2 years in a

supervisory role within a hospital, healthcare group, or emergency service provider.

Proven experience in ambulance or emergency vehicle logistics is highly desirable.

Licenses:

A valid [e.g., UAE] driver's license is mandatory. A heavy vehicle license may be required.

Required Skills & Knowledge



In-depth knowledge of fleet management principles, vehicle maintenance, and route planning. Proficiency in fleet management software and GPS tracking systems. Excellent communication and interpersonal skills to coordinate effectively with clinical staff, drivers, and patients' families. Strong problem-solving skills and the ability to remain calm and make decisions under pressure. Solid understanding of basic infection control practices as they relate to vehicle cleanliness and patient transport.

Working Conditions



Must be available for on-call duties to handle transportation emergencies outside of regular hours. The role involves working in a fast-paced, high-pressure environment where priorities can change instantly.
