Job Description

Job Purpose

To assist the Department Manager in securing supply of petroleum products to all Adnoc Distribution Depots throughout the UAE, in order to ensure continous and uniterrupted delivery of products to customers and filling stations and prevent any delay in delivery of products. To ensure continous flow of products in coordination with Adnoc-Marketing Refined Products Supply Section and Abu Dhabi Refinery, (Takreer) to meet company's requirements.

Job Specific Accountabilities

  • Receives Refined Products Term Contract copy for quantity requirements from Retail & Corporate Sales Divisions and prepares estimated products requirement quantities for the year with monthly break-up accordingly. Forwards to Abu Dhabi Log. Manger for review and approval Logistics Division Manager.
  • Prepares and forwards weekly program for 13 weeks estimated products quantity requirement to the Department Manager for his review and Logistics Division Manager for approval and forwards to ADNOC-Marketing Directorate, Refined Product and Gas & Special Products Divisions, with copies to Corporate Sales Division and Aviation Division Managers.
  • Receives daily product stock position from all Depots for review and follow up
  • Sends E-mail to Abu Dhabi Refinery (TAKREER) requesting product supply on daily basis. This includes the supply through pipeline for JET-A1 for Aviation Operations Depot and other requirements supplied by tankers.
  • Coordinates with Adnoc Marketing, Refined Products Divisions and Abu Dhabi Refinery for product availability, as per 13 weeks product requirement program.
  • Receives tank-gauging reports from Abu Dhabi Refinery, for product received from Sas Al Nakhl Terminal and Mussafah Depot.
  • Coordinates with Mussafah Control Room Officer and Al-Ain Depot Supply Officer for arranging product receipts as per 13 Weeks Requirement Programmes, and advice Abu Dhabi Refinery the pumping sequence /quantity targets for products transfers by pipeline to Al Ain.
  • Receives vessel nomination for lifting Jet A1 from Aviation Division and forwards the same to Adnoc Marketing (RPD) for supplying to Sharjah International Airport Depot.
  • Checks certificates of quantity for products received from Abu Dhabi Refinery and verify correctness of tank levels against the gauging report and calculations of quantities mentioned.
  • Checks and certifies contractors' vehicle monthly statement of deliveries and submits for approval by Abu Dhabi Logistics Department Manager, and on forwarding to Financial Accounts Department.
  • Assesses and prepares PDN/PTN annual requirements and submits to Abu Dhabi Log. Department Manager for approval.
  • Investigates and follows up loaded pending PTN/PDNs with Dispatch Officer and informs the Department Manager.
  • Checks monthly Stock and Movement Statements for Mussafah,SAN Terminal and Zayed Depot and send to Abu Dhabi Logistics Dept. Manager for approval.
  • Prepares monthly comparison statement between products requirement from ADNOC Marketing, receipts and product off take from depots.
  • Prepares the yearly capital budget in his own area and forwards to the Department Manager to be incorporated to Department's budget.
  • Performs other related duties such as Prepares leave schedule and annual appraisal for Supply Assistants and carrying out periodical visits and inspections in different locations/depots to meet with his counterparts to facilitate products supply and enhance compliance of procedures and any other duties assigned by the Department Manager.

  • Provide input for preparation of the Department / Section budgets and assist in the implementation of the approved Budget and work plans to deliver Section objectives.
  • Investigate and highlight any significant variances to support effective performance and cost control.

  • Implement approved Department / Section policies, processes, systems, standards and procedures in order to support execution of the Section's work programs in line with Company and International standards.
  • Comply with all applicable legislation and legal regulations.

  • Contribute to the achievement of the approved Performance Objectives for the Department / Section in line with the Company Performance framework.
Innovation and Continuous Improvement
  • Design and implement new tools and techniques to improve the quality and efficiency of operational processes.
  • Identify improvements in internal processes against best practices in pursuit of greater efficiency in line with best Industry standards in order to define intelligent solutions for issues confronting the function.
Health, Safety, Environment (HSE) and Sustainability
  • Comply with relevant HSE policies, procedures & controls and applicable legislation and sustainability guidelines in line with international standards, best practices and ADNOC Code of Practices.
  • Participate in Emergency Response duties as a team member.
Reports
  • Provide inputs to prepare MIS and progress reports for Company Management.
Internal Communications & Working Relationships
  • Has daily contact with the Abu Dhabi Log. Department Manager for discussing products receipts position and updating products requirement programmes.
  • Has contact with the staff in all locations (Depots) for coordinating and following up product supply.
  • Has frequent contact with same level staff in Retail & Corporate Sales Division, Aviation, Finance, LPG for smooth working process
  • Has frequent contact with same level staff in ADNOC Marketing, Refined Products Department and Abu Dhabi Refinery, regarding product supply position
External Communications & Working Relationships
  • Has frequent contact with major local customers such as WED - Taweelah Power Stations, etc. for coordination of delivery of back up fuel deliveries.
Minimum Qualification

Bachelor Degree in Business Administration

Minimum Experience, Knowledge & Skills
  • 5 years' experience in petroleum terminal operations and product supply.
  • Good knowledge of Arabic and English languages
  • Valid UAE driving license
  • PC Literacy

Physical Effort

Minimal. Driving, standing and walking are frequently involved when visiting depots in different locations

Duties are performed mostly in air conditioned surroundings. Exposed to weather prevailing conditions when visiting depots
