Job Description

We are looking for an experienced administrator to ensure the highest standards of record keeping in our facility. The ideal candidate will liaise with team leaders, managers, veterinarians, and animal keepers, to ensure that data is entered, kept, and subject to the highest data management standards.

Immediate joiners currently available in the UAE are preferred

QUALIFICATIONS & EXPERIENCE

High school diploma or equivalent - mandatory Administrative assistant / Business Administration degree, courses, or certification - similar and/or equivalent highly desirable. Certification in Animal Care, Veterinary Assistance, or related fields is a plus. Minimum 2 years of experience as administrative assistant or registrar at a veterinary clinic, animal shelter, pet shop, or related fields. Experience in veterinary/pet-care facilities desirable. Previous junior leadership experience is a plus.

JOB SKILLS

Entering daily data on the VCMS and ensuring the accuracy of records. Maintaining all animal management records up to date. Supervising inventory control submissions. Producing, logging, and submitting purchase requests, and following up progress. Liaising with animal keepers, veterinarians, and managers to maintain all the necessary records for the operation. Processing and collating animal data. Producing and submitting reports. Processing and submitting staff-related documentation to and from HR. Excellent verbal and written communication skills in English. Proficiency in MS Office Applications and demonstrated advanced skills and expertise. Adaptability to use different data management software, operating systems, and hardware. Problem-solving and initiative mindset. Ability to strictly follow instructions, protocols, and procedures. Familiarity with GDPR is a plus.
