We are looking for a dedicated and detail-oriented
Sports Academy Customer Coordinator
to support the smooth operation of AIS Athletics and ensure an exceptional experience for students and their parents.
In this role, you'll be the key point of contact for enquiries, registrations, and parent communication. You'll manage daily administrative tasks, maintain student records, and support the wider team to ensure the highest level of service delivery. This position is ideal for someone with experience in a school, sports academy, or similar environment, who is confident working in a fast-paced setting and enjoys building strong relationships with families.
Key Objectives
Administrative support
Manage day-to-day administrative tasks to ensure the smooth functioning of the academy.
Handle incoming calls, emails, and inquiries from parents, students, and staff.
Maintain accurate records of student registrations, attendance, and academic progress.
Prepare reports, presentations, and documents as required.
Stock management
Keep a stock report on marketing materials
Customer Service
Answer enquiry phone calls from the office phone and company mobile phone.
Assist in answering all enquiries via phone, email and in social media platform from existing and potential customers.
Preparing communication request to parents when required
Respond to outbound leads as and when required.
All other duties related to the role.
Ensure the smooth administrative operations and functioning of the department
Maintain effective communication between all stakeholders, including the company, third-party providers and customers
Support the department in meeting the business targets and budgets
Develop and maintain the highest level of customer service to customers
Set of Required Skills, Knowledge and Behaviours:
Desired Qualifications
Diploma in business, administration, or any other qualification related to the field
Desired Experience:
Proven experience in a related field with administration and customer service responsibilities
Working in a high paced environment
Problem solving experience
Experience working with children or in the education field is a bonus

High level IT skills including using bookings systems and CRM systems
High level proficiency of written and verbal English
Customer service and relationship management skills
