Main responsibilities
Supplier / Vendor Sourcing and Performance Evaluation:
- Act as a representative for (FM) procurement with a wide variety of vendors globally as well as across the region.
- Conduct the vendor strategic sourcing process by identifying and sourcing potential suppliers, negotiating contractual terms and conditions, assist when required in evaluating supplier proposals and provide stakeholders with recommendations as per policy guidelines and current market trends.
- Perform sourcing activities, liaising, and negotiating with new and existing suppliers to improve total cost of ownership (TCO).
- Provide post tender support to the Supplier Relationship Management (SRM) team in the evaluation of supplier performance.
Support with State of Work / Schedules / Agreements:
- Develop detailed sourcing and category plans to maximize effectiveness and efficiency. Analyse market and delivery trends and processes that support those trends.
- Draft Master Service Agreements (MSAs), Schedules / Statements of Work (SOW) and variations for projects whilst ensuring they are aligned with DHAM legal framework.
- Translate the requirements of the FM subject matter experts into Statements of Work contractual requirements and deliverables, assist business units in the negotiation of business terms and conditions and actively liaise with legal department in finalization of contracts.
- Work with the finance team throughout the procurement cycle to assist with forecasting and budgeting.
Procurement Planning and Documentation:
- Assume full responsibility of development and management of annual procurement plan for the assigned category.
- Develop detailed sourcing and category plans to maximize effectiveness and efficiency. Analyse market and delivery trends to develop procurement technologies and processes that support those trends.
- Maintain documentation of FM Sourcing activities, such as tender documents, contracts, negotiation bids and project reporting.
Key Relationship Management:
- Maintain positive working relationships with strategic suppliers to assure cost, quality, and delivery targets are met.
- Interact with key stakeholders in identifying business needs, building relationships, and selling the features and benefits of early procurement involvement. Proactively maintain positive working relationships with internal customers and vendors alike to expedite the procurement process, efficiently, effectively and in accordance with the approved policies and procedures.
- Maintain ethical and professional behaviour in dealing with users, vendors, stakeholders, and other departments’ personnel.
- Facilitate efficient interdepartmental communication related to assigned areas and undertake other administrative and analytical duties as required from time to time.
Continuous Improvement
- Support FM Category Manager in analysing FM trends and market conditions including, pricing, availability, lead time, and innovative practices.
- Ensure self-development, training and on time completion of appraisals to raise competency, effectiveness, and performance levels.
- Keep abreast of professional developments, new techniques, and current issues, through continued education and professional growth.
