Job Title: Site Administrator Department: Operations
Reporting To: Site Manager Site: ES1147
JOB PURPOSE:
xc2xb7 The Site Admin is responsible for helping the FM team to manage the MEP and CIVIL services
and shall ensure support for the core business of the Gulf Data Hub organization.
xc2xb7 The admin shall assist FM team in terms of maintaining input of records with respect to
maintenance schedules and records maintenance
xc2xb7 The admin is involved in strategic planning and day-to-day operations, particularly regarding
Information and records maintenance related to Maintenance, Staff records, and service
records.
xc2xb7 Assist in maintaining best business practice and improve overall efficiency by reducing
operating costs while increasing productivity.
xc2xb7 Record and maintain documents library through a Document Controller (or Office assistant)
KEY RESPONSIBILITIES:
Responsibility
xc2xb7 Maintenance and upkeep of Smart O&M
xc2xb7 Maintenance and upkeep of all PPM, RM, CM information with assistance from DC services
supervisor(or MEP Supervisor)
xc2xb7 Coordinate with DC Management Team to ensure seamless flow information and records on
daily/weekly/monthly basis.
xc2xb7 Manage procurement and logistics.
xc2xb7 Client and contract management.
xc2xb7 Accounts
Management
xc2xb7 Staff Management, Supervision and Procurement.
xc2xb7 Extract the monthly planner and submit for operational approval.
xc2xb7 Develop, guide, direct, motivate and manage the performance of all direct and indirect reports
to help realize their potential and enhance their knowledge-based skills.
xc2xb7 Manage the project in a professional manner to achieve a sustained positive image.
xc2xb7 Provide leadership, responsible for creating a customer focused culture that is based on
delivering results, transparency, and trust, whilst building organizational capability and
empowerment.
xc2xb7 Assist FM in performance management techniques to monitor and demonstrate achievement
of agreed service levels and to lead on improvement.
Operational
xc2xb7 Assist to Develop, implement, and communicate improved processes, policies, and
procedures on a continuous basis, always seeking greater efficiencies and higher
customer satisfaction.
xc2xb7 Record and report PMs., planners, updated, deferments
xc2xb7 Manage CMs.
xc2xb7 Vendor Management.
xc2xb7 Create the shift roaster to ensure 24/7 coverage is available on-site
xc2xb7 Upon completion of WO activity and confirmation from Contract & DC Operations Manager, need to close work order in FSI. xc2xb7 Maximize communication and synergy between the departments. xc2xb7 Record MoM to Organize and attend regular staff & customer meetings, using them as a basis for the development of consistent standards in quality working and behavior. xc2xb7 Ensure the building meets health and safety requirements. xc2xb7 Respond appropriately to emergencies as they arise. Further develop DRP and BCP. QHSE xc2xb7 Take reasonable care of your own health and safety and not to put other persons - fellow employees and members of the public - at risk by what you do or don't do in the course of your work. xc2xb7 Cooperate with any company efforts to improve health and safety at work. xc2xb7 Comply with any reasonable instruction given to you in the interest of health and safety. xc2xb7 Not to interfere with or misuse with anything that's provided for your health, safety, or welfare. xc2xb7 Report any injuries, accidents, or illnesses you may suffer as a result of your work, or any accidents, injuries, or illnesses you become aware of that involves a fellow employee or member of the public at your workplace.
SKILLS REQUIRED:
xc2xb7 Team monitoring, maintenance of documentations skills.
xc2xb7 Excellent verbal and written communication in English essential
xc2xb7 Interpersonal, relationship-building and negotiation skills.
xc2xb7 Strong numeracy and the ability to understand financial data.
xc2xb7 Excellent advanced level skills in Excel and Power point.
xc2xb7 Research skills and the ability to draw information from various sources, including people.
xc2xb7 Clear and concise writing skills and the ability to handle long and complex documents.
xc2xb7 Flexibility and the ability to work on more than one task at a time.
QUALIFICATIONS:
xc2xb7 Bachelors Degree in Commerce or General Administration
OTHER REQUIREMENTS:
xc2xb7 2 +Years' experience as an administrator.
xc2xb7 Experience in monitoring and managing CAFM systems for MIS purposes
xc2xb7 Need to be available 24x7x365, on call (if required).
xc2xb7 Maintaining audit records and follow ups
