Supervising the team and responsible for answering all incoming calls originating from outside or within the hotel in a friendly and caring manner accordingly to the Paramount Hotel standards.
Comprehensive knowledge of the Hotel, including all departments, services and outlets
Knows all the operation hours of all outlets and facilities as well as the extension number of all department outlets, executives and facilities
Supervises the day to day operations, coordinates and monitors the work of the Communication Agents to ensure that service is provided in a professional and courteous manner Brief the team for full awareness of all activities within the hotel in order to provide accurate information to all internal and external guests
Accepting, monitoring and passing on of telephone calls, telegrams, faxes and recording of the same
Passing on messages and processing wake up calls
Draw up internal telephone directories and maintain the same
On a regular basis, updates the telephone book in Opera and the Hotel Directory
Verifies the record of each DDD (Domestic Direct Dial) and IDD (International Direct Dial) and ensure with Front Office Reception that all telephone charges are billed and collected from guests
Keeps abreast on hotel products and services as well as on tourist and business traveling information that maybe of any interest to our guests and communicates information to direct and indirect subordinates to ensure they are able to answer guests\' questions.
Handles special guest requests and complaints in a polite and efficient manner, gives further instructions to the relevant staff if needed to ensure customer satisfaction and maintains a record of all complaints received from all guests and follows up when necessary.
Carries out training for new employees and on the job training. Motivates staff to bring out excellent performance
Maintain the privacy of all guests by ensuring that no details of the guest are disclosed to anybody To ensure that all VIP\'s in-house are listed on the VIP board and the board with all major information is updated on daily basis or whenever necessary during the day
To be aware of all fire prevention and safety regulations and procedures at all times
To have clearly written emergency numbers (Fire, Ambulance, and Police etc.)
Bomb threat procedure checklist to be checked on daily basis
Check assisted evacuation list on board
Update Communication board with all essential information on daily basis (DM F&B, Rooms, etc.)
Perform any related duties and special projects as requested by Management
