Job Title: Senior Receptionist / Front Office Executive
Reports To: Clinic Manager
Location: Sharjah, UAE
Job Summary:
We are seeking an experienced and polished Senior Receptionist to manage our front desk operations. This role is the first point of contact for our patients and is crucial for creating a positive and welcoming impression. The ideal candidate will have extensive experience in a clinical setting in Sharjah, with a deep understanding of clinic workflows and patient management systems.
Key Responsibilities:

  • Front Desk Management: Greet patients and visitors warmly, answer phone calls, and respond to emails promptly and professionally.
  • Appointment Scheduling: Efficiently manage the clinic's appointment calendar for all doctors and therapists using the clinic management software.
  • Patient Registration: Register new patients, verify and update existing patient information, and ensure all necessary documents and insurance details are collected.
  • Billing & Payments: Handle cash, card payments, and insurance billing. Generate invoices and receipts accurately.
  • Patient Liaison: Address patient inquiries, resolve scheduling conflicts, and manage patient expectations regarding wait times.
  • Administrative Support: Oversee the reception area, maintain stationery supplies, and provide administrative support to the management and clinical staff.
  • Team Supervision: Guide and train junior reception staff, ensuring a consistent standard of service.
Qualifications & Requirements:
  • High school diploma or equivalent; a degree or diploma in administration is a plus.
  • 4-5 years of proven experience as a Receptionist or Front Office Executive in a clinic or hospital in Sharjah.
  • Proficiency in clinic management software (e.g., SmartSe, EMR systems) and MS Office.
  • Exceptional communication and customer service skills in English and Arabic.
  • Strong organizational, multi-tasking, and problem-solving abilities.
  • Professional appearance and a calm, empathetic demeanor under pressure.
