Key Responsibilities
Greet and welcome all clients/patients with warmth and professionalism, ensuring a smooth and reassuring front-desk experience.
Answer incoming phone calls and handle general inquiries with accuracy, confidence, and strong service etiquette.
Respond to client/patient emails promptly and follow up on wellness-related inquiries with attention to detail.
Manage appointment bookings, schedule changes, and confirmations with efficiency and minimal errors.
Prepare invoices, insurance claim forms, and process payments with accuracy and adherence to clinic procedures.
Maintain, update, and organize client/patient records through our data entry system, ensuring confidentiality and compliance.
Coordinate the daily schedules of doctors, therapists, and instructors to ensure seamless clinic operations.
Update and manage weekly class schedules across internal systems and client-facing platforms.
Monitor, track, and replenish office and clinic supplies to support uninterrupted workflow.
Deliver exceptional front-desk service, maintaining a calm, professional, and client-centered environment at all times.
Guide clients/patients in using the Body Composition Analysis machine and assist them with the infrared sauna.
Receive payments, generate credit card reports, and reconcile petty cash at end of day with high accuracy.
Handle client/patient feedback and resolve concerns professionally, escalating matters only when necessary.
Identify operational gaps and support process improvements to enhance client experience and workflow efficiency.
Carry out additional administrative and clinic-related tasks as assigned to support daily operations.
